Full Job Description
The Payroll / Accounting Associate is responsible for, but not limited to, maintaining various functions of accounts receivable, accounts payable, job costs, and payroll. This position is a full-time salaried position and salary will be commensurate with experience.
The essential job duties shall include the following:
1. Accounts Receivable Management
a. Assisting in preparation of monthly invoices
b. Collecting payments for outstanding invoices
c. Processing received payments
d. Maintaining invoicing records and customer files
2. Accounts Payable Management
a. Processing and managing invoices from invoice entry to payment in paperless environment
b. Maintaining vendor files
c. Maintaining subcontractor files (i.e., Insurance Certificates, Lien Waivers, etc.)
d. Review of all expense reports for accuracy and proper expense disclosure
3. Project Management
a. Assist in the reconciliation of various job cost General Ledger accounts
b. Assist in the reconciliation of various job costing systems
c. Assistant Project Managers with Contract and Change Order documentation
d. Assist in State and Local Registrations
e. Assist in State and Local Taxes
4. Payroll Functions
a. Responsible for the processing of payrolls
b. Communicate with Human Resources to manage payroll deductions
c. Manage payroll garnishments and remittance
d. Remittance of various deductions, specifically 401(k)
e. Annual filing of 1099s
f. Administration of payroll related taxes
5. General Accounting Functions
a. Calculation and posting of various journal entries
b. Assistance with various audits
c. General Ledger maintenance
d. Assist with Inventory management
6. Perform other duties as may be requested by the CFO
Requirements
1. High School Diploma or equivalent required; Associate’s Degree in business related field preferred
2. A certification, such as the Certified Bookkeeper designation is preferred.
3. Proficient in accounting software and bookkeeping (3 years minimum experience)
4. Proficient knowledge of Generally Accepted Accounting Principles
5. Proficiency in Microsoft Office
6. Ability to prioritize and multi-task in a fast paced work environment
7. Highly organized, detail oriented, comfortable working in a paperless environment
8. Able to complete tasks accurately and timely with minimal supervision
9. Strong verbal and written communication skills
10. Thrives in a collaborative, team player office environment
11. Ability to interface well with staff and external contacts of the Company
12. Experience in the Architecture, Engineering, Construction industry preferred
13. Proven ability to maintain confidentiality
