Full Job Description

The Office Manager responsible for the overall operations and purchasing needs, including being an ambassador for the organization, uphold high quality customer service standards and concierge service to guests, members, and partners of the Coalition. Responsible for overseeing all vendors, mail, shipping, and receiving processes, office equipment management, and facility/operations requests. Responsible for facilitating internal and external office meeting logistics.

Key Responsibilities

  • Assist with the development of internal processes related to operational needs.
  • Assist in the oversight and management of the Executive Director’s calendar, as requested.
  • Maintain office cleanliness and appearance.
  • Greet and provide concierge services to guests.
  • Organize, help, coordinate, and schedule all meetings, events and set ups (internal & off-site).
  • Assist with onboarding, internal moves, and offboarding of employees, as requested.
  • Stock and maintain office supplies, amenities, and swag.
  • Coordinate outgoing mail and shipping, as needed. Receive, sort & distribute incoming mail.

Additional duties may be required/assigned as necessitated by need.

Requirements

Qualifications

  • High School Diploma or GED
  • Minimum of 3 years experience in an administrative role
  • Minimum of 3 years experience working in a non-profit organization or with vulnerable populations
  • Possess or have the ability to obtain and maintain a valid Arizona Department of Public Safety Fingerprint Clearance Card and any additional background screens required.
  • Proficiency in Microsoft 365 Suite
  • Flexibility to work evenings, weekends, overnights and travel as needed.
  • Ability to travel throughout the state, have a current and valid Arizona driver’s license, current vehicle insurance, have reliable transportation and meet the organization’s liability insurance requirements.

  • Excellent written and verbal communication skills.
  • The ability to interact at the executive level and represent the organization’s mission effectively to diverse constituents and the public.
  • Ability to work independently and as an integral part of a small team in a fast-paced environment.
  • Ability to prioritize multiple responsibilities and maintain excellent time management skills.
  • Ability to serve as an ambassador for the organization, demonstrating passion and commitment to the organization’s mission to end homelessness and advocating for safe, affordable housing for all Arizonans.
