Ally Pediatric Therapy, a specialty clinic for children with autism and other childhood disorders, is looking for an Administrative and Scheduling Coordinator to join our growing team.

Position Mission
To create an efficient schedule that fulfills recommended client treatment hours while providing exceptional customer service and supporting the Clinical Director and managing administrative tasks.
This position plays an integral role in ensuring our clients receive services. The Scheduling Coordinator is responsible for coordinating and updating all ongoing client treatment schedules. This role involves scheduling in a manner that takes into consideration location, hours, and appropriate client-to-staff matches.
This role is best suited for someone that works well under pressure and with tight deadlines.
Position Responsibilities:
Client & Staff Scheduling
- Develop and maintain the client/staff master schedule to maximize utilization, while enabling continuity and quality of care
- React and respond to last-minute scheduling changes, such as staff or client absences and time off
- Ensure staff are converting session notes in a timely manner
- Work with vendors to ensure the clinic is clean, safe, and presentable
- Manage and monitor clinic supplies inventory and replenishment schedule
- Support and enable the success of the Clinical Director in their role as leader of the clinic
Clinic Management
- Work with vendors to ensure the clinic is clean, safe, and presentable

Client & Staff Experience
- Build relationships with staff and clients to create a positive experience
- Assist with new hire onboarding activities
Requirements
- You thrive in a crunch – you will have to adjust the schedule daily due to absences, often with little notice, with a time deadline. That doesn’t scare you, in fact, it gets your adrenaline going!
- You’re a triage master – you know how to prioritize incoming tasks and requests so that the most important items are handled
- Details matter – you work efficiently, but take pride in getting it right the first time
- You care…a lot – you take pride in how the clinic looks and the experience of the team and clients
- You like being the go-to person – you’ve always been the one others count on for help or getting questions answered, and you wouldn’t have it any other way
- You’ve got skills – you have experience working with systems and technology (e.g. EHRs, EMRs, CRMs, Office365) to do the job as efficiently and effectively as possible (bonus points if you have experience with CentralReach!)
