Pay Range: $22.87 to $28.00/hour

JOB SUMMARY
Our Administrative Assistant will be responsible for daily operations of the office, ensuring the efficient functioning of the office through a range of tasks across administrative, financial, and client-relations realms. Responsibilities include but not limited to greeting clients and visitors; office organization and coordinating any vendors; inventory and maintenance of supplies; ensuring office, staff, and client safety; and collaborating with operational and clinical staff to ensure client and staff needs are met in a timely and efficient manner.
Ø Opening and/or closing the office – up to 100% in-person role
Ø Maintaining a clean and inviting environment; office organization
Ø Mastering use of multiple electronic platforms, including our EMR
Ø Management of building and building usage
Ø Management of vendors
Ø Fielding and directing incoming calls
Ø Ordering and management of inventory of all office supplies, including but not limited to: emergency supplies, health and safety supplies, and assessment supplies in conjunction with clinical staff
Ø Ensuring safety at the Center
Ø Office equipment and machine maintenance
Ø Mail distribution
Ø Organization and delivery of business pamphlets
Ø Making sure office clinician and business licenses and docs are up to date
Ø Financials: bank deposits
Ø Participation in committees (Covina Safety Committee)
Ø Actively engage in MCYAF’s work on diversity, equity, and inclusion.
Ø Other duties necessary to ensure peak organizational operations, client satisfaction, clinical excellence and the success of MCYAF
Requirements
Ø Excellent communication skills
Ø The ability to multitask, work well under pressure, and adhere to deadlines
Ø Good judgement and decision making
Ø Ability to maintain client confidentiality
Ø Basic budgetary/finance experience
Ø Any combination of education and experience that would provide the necessary knowledge and abilities listed, typically a Bachelor’s degree in a related field from an accredited college/university.
Ø Four or more years of experience in related services.
Ø Physical ability to move packages, furniture, and equipment around
Ø Experience working with children, youth, and their families
Ø Experience working in a clinic setting preferred
