Full Job Description
The Administrative Assistant provides key support to the Bethel Senior Leader over Advancement, Capital Projects, Human Resources, Kitchen, and Commerce. Reporting directly to the Chief of Staff, the Assistant ensures seamless communication and workflow in support of the Senior Leader's responsibilities. This role demands a proactive and adaptable approach to efficiently manage various administrative tasks, streamline communication, and maintain the Senior Leader's daily operations. Responsibilities include managing projects, scheduling, and addressing diverse needs, from basic errands to complex tasks. The ideal candidate is hardworking, organized, and capable of coordinating multiple projects simultaneously. Additionally, the Assistant may undertake additional projects as requested by the Senior Leader or Chief of Staff.
Salary Range : $35,360.00 - $43,680.00 per year
Requirements
Responsibilities:
Senior Leader Support:
- Handle requests and queries appropriately.
- Typing, formatting and editing documents, reports and presentations
- Manage multiple personal and office projects.
- Handle Nexonia transactions, ensuring accurate and timely submissions.
- Maintain records and documentation related to departmental activities.
- Managing a range of logistical responsibilities, which encompass running necessary errands.
- Assist with hosting notable guests when visiting Bethel and partnering with the Senior Leader’s Departments.
- Maintain the restocking of various goods within the office.
Schedule Coordination:
- Organize and manage the Senior Leader's daily schedule.
- Handle scheduling, booking, and setups for key meetings with the Senior Leader and Departments.
- Assist in prioritizing tasks and projects, ensuring deadlines are met.
- Coordinate and manage travel itineraries for the Senior Leader's trips.
Key Decision and Information Support:
- Stay informed about the Senior Leader's preferences, priorities, and key decisions.
- Provide necessary information to facilitate decision-making.
Communication:
- Act as the primary point of contact for inquiries, emails, and calls.
- Ensure effective communication between the Senior Leader and various stakeholders.
- Serve as a liaison, facilitate communication and information between the Senior Leader and department heads.
- Facilitate communication and information exchange across departments from Senior Leader to department heads and teams as needed.
Departmental Projects
- Support projects within the Senior Leader’s Team and departments as needed.
- Support Chief of Staff and Project Manager in key departmental projects and initiatives as needed.
Qualifications:
- High school diploma or equivalent; additional qualifications are a plus.
- 3-5 years previous experience as a personal assistant or in a similar role.
- Strong organizational and time-management skills.
- Excellent communication skills, both written and verbal.
- Proficient in standard office software and applications.
- Ability to handle confidential information with discretion.
