Pay Range: $23.49 to $29.02/hour, depending on experience

POSITION SUMMARY:
Under the supervision of the Admissions Coordinator, performs a variety of critical responsibilities and office support functions; maintains reports, records and files required documentation in connection with department work processes; interacts with residents, staff members, family members, and visitors, and performs related duties as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Admissions Assistant Job Duties
- Assist in preparation and assembly of forms needed for admission packages, and the processing of all admission documentation and contracts.
- Assemble files for new applications and starts the process of entering the applicant’s information in the computer system.
- Contact with applicant, family, care manager or POA to resolve documents required to approve for waitlist.
- Assist with monthly calls to pending applicants: Track status of the applicant(s), monitors the health and financial status throughout the application and waitlist process.
- Demonstrate knowledge of HIPAA Privacy Regulations by appropriately managing resident information.
- Assist with general correspondence, including written and electronic mail, using good judgment about the tone and content of communications. Maintain complete files for correspondence, electronic mail, and other documents properly, both paper and digital.
- Keep organized, and maintain departmental and project files, records, and other critical documents, assuring ready access for responsible staff.
- Assist in coordinating applicant assessment visits with the potential resident or family member and with key staff at the Home as part of the assessment process. Work with the assessment team (i.e., Social Services, RCFE Manager, and Financial Assets Coordinator).
- Regular attendance and punctuality is an essential function of the job.
- Comply with all security, safety, and health standards in the workplace.
- Update Lodge listings for Admissions and Front Desk. Contact the lodge - inform them when a member/sponsor moves to our community.
- Opening, sorting, and distributing correspondence to the appropriate files or to the Admissions Coordinator.
- Proficient in Word, Excel, Outlook. Perform filtering and sorting of data and their functions with confidence in the use of.
Requirements
Qualifications:
- Two or more years of experience as an assistant supporting a manager.
- Some college preferred; strong administrative support experience preferred. Relevant experience will be considered in lieu of educational requirements.
- Strong communication skills, both written and verbal. Excellent telephone skills. Strong business writing skills.
- Excellent proficiency in English grammar. Excellent proofreading skills and error-free communication.
- Absolute commitment to confidentiality and discretion required and must be practiced unfailingly. Breaches of confidentiality will be considered strong performance issues and may lead to termination.
- Strong organization and filing skills.
- Ability to take initiative, work independently.
- Ability to prioritize multiple tasks and meet deadlines.
- Ability to remain calm under pressure of fast-paced, deadline driven environment.
- Commitment to fostering gracious, respectful tone in all interactions with residents, members, and staff.
- Maintain a professional image and be well-groomed.
