About the Role:

The Fulfillment Manager manages a team of Document Specialists and ensures that orders are completed promptly, efficiently, and error-free. In addition to managing a team, you will also communicate with our independent contractors to resolve issues with specific orders, evaluate issues as they arise, and escalate to colleagues as appropriate.  

As a manager, you are responsible for setting your team's schedules, managing and approving their timecards, distributing responsibilities, and conducting ongoing performance management, which includes frequent 1:1s and annual performance reviews.  

Responsibilities:

Operations 

  • Manage the day-to-day operations of a team, ensuring that team tasks are completed on time and to the highest standard. 
  • Handle escalations from customers and your team members. Coordinate with other departments, such as the Finance and Client Escalations Team, as required to ensure the resolution of escalated issues  
  • Implement processes and controls within your team to ensure that orders do not fall out of service level. 
  • Communicate with independent contractors as appropriate to complete individual orders. Resolve contractor payment inquiries and communicate major contractor issues with the Contractor Relations team
  • Provide practical support to your team to complete work on time, including dispatching, monitoring, and closing out jobs in periods of very high volume or when team members are sick/on leave, etc
  • Monitor Fulfillment KPIs and provide inventory management resolution

People Management 

  • Establish and maintain a team schedule, managing resources and workloads to ensure timely completion of tasks  
  • Approve timecards, time-off requests, sick days, and other related requests in accordance with company policies  
  • Monitor performance and provide feedback and guidance to team members both as required and through regularly scheduled 1:1s
  • Undertake performance reviews for your team, identifying areas for improvement and providing action plans for development
  • Communicate with your team to share company messages and updates, process changes, new product features, etc
  • Recruit, train, and manage new team members, ensuring their integration into the team

Other responsibilities

  • Regularly review metrics on your team’s performance, providing updates to management
  • Gather, collate, prioritize, and disseminate product and process feedback

Requirements

  •  3+ years of experience working with legal documentation or similar highly sensitive documentation
  • 1+ years of previous experience in a supervisor or managerial position is preferred
  • Paralegal certificate or similar paralegal training is preferred.  
  • Understanding of the U.S. legal system, especially the filing and service of civil lawsuits 
  • Computer skills, specifically word processing, creating and editing PDFs, creating spreadsheets, manipulating data in spreadsheets, and using database software (e.g., order inventory tools or CRM-type software)
  • Customer service skills, specifically experience communicating with customers and independent contractors in a professional manner by phone, email, and other means
  • Leadership skills, including conducting effective 1:1s, sharing feedback, and monitoring employee performance 

Compensation

The anticipated starting base pay range for this role is listed below. Base salary is not the only component of our competitive total rewards package - you may also be eligible for bonus, commissions, equity, and other benefits as described below. Actual compensation is influenced by a wide array of factors including but not limited to skill set, level of experience, licenses and certifications.

$75,000 - $94,000 base pay
