Position Summary

Resources Legacy Fund seeks a thoughtful, collaborative, and service-oriented HR and Recruiting Coordinator with strong organizational and time management skills. The HR and Recruiting Coordinator will work both independently and in collaboration with other human resources and operations staff executing a wide variety of time-sensitive tasks to provide exceptional service to candidates, colleagues, and other partners as needed. The HR and Recruiting Coordinator is a full-time, non-exempt position and reports to the Senior HR Manager. This position may be based in the Sacramento office; or the position may be fully remote in California, with travel to Sacramento at least quarterly.

This role supports full-cycle human resources activities, including recruiting and onboarding, HRIS data management and maintenance, and personnel file/duty statement creation and maintenance. This position involves a great deal of data management and document management and working in various HR systems. Day-to-day tasks have a strong focus on managing open recruitments, tracking completion of requests, and timely communication to candidates and employees. One key to success in this role is knowing when to proactively follow up, balancing an empathetic yet firm communication style.

 

Duties Include:

Recruiting

Become an internal expert on recruiting process and keep the process on track to support recruitment of talented employees to join our organization. Develop job descriptions, post jobs, review applications, develop interview questions, train staff, schedule interviews, participate in interviews, and schedule and facilitate internal meetings. Provide updates and recruiting statistics and information as requested.

Build and maintain knowledge of best practices in recruiting and share recommendations for ongoing improvements, including those that support diversity, equity, and inclusion. 

Maintain and optimize applicant tracking system.

Develop and maintain training and process documents.

HRIS

Draft offer letters and other formal and informal communications

Enter new hires and update existing employee information as needed (pay changes, titles changes, supervisor changes, etc.)

Personnel Files

Manage, maintain, and audit personnel files

Draft new duty statements and update existing duty statements annually, in collaboration with team members

Complete, maintain, and audit I-9’s to ensure compliance

Manage new hire and separation checklists to ensure all tasks are completed timely

Other

Manage new hire forms, pay change forms, termination forms, etc. to support ongoing compliance across many states and localities.

Undertake special projects as assigned

 

RLF’s new Human Resources and Recruiting Coordinator understands the importance of the role of human resources in supporting employees to do their best work while ensuring consistency and compliance on behalf of the organization. The ideal candidate takes pride in being responsive, knowledgeable, and organized. The ability to keep track of many details and disparate timelines is a must.

The ideal candidate has, through professional experience, gained some knowledge of human resources laws, regulations, and best practices – and brings a desire to expand skill and knowledge in this area. Required is demonstrated experience successfully maintaining confidentiality.

This role requires the ability to take initiative, while having the good judgment to stop as needed to ask a colleague to ensure information or processes are correct. Successful candidates are able to track multiple tasks, continually prioritize, and meet deadlines with minimal direct supervision.

The ideal candidate thrives as part of a team and understands the role to be in service to colleagues and to the organization. Successful candidates embrace office protocols and understand the importance of their position in fostering a collaborative and inclusive organizational culture.

Strong written and verbal communication skills include the ability to draft, proofread, and edit documents. Strong data management skills are a must, including attention to detail, a commitment to accuracy, and an understanding of the importance of confidentiality in relation to both records and information. Professional experience that incorporates scheduling and calendar management is a strong plus.

General computer literacy and proficiency in the Microsoft suite are needed, along with the ability to learn new technology quickly and thoroughly. Prior experience managing employee data in an HRIS is a plus.

 

Qualifications

Minimum of two years’ work experience in a position demonstrating strong administrative and project management skills. Preferred experience includes roles in recruiting and/or HR, experience maintaining a high degree of confidentiality, and responsive customer service.

Strong organizational skills, sharp attention to detail, and persistence in following through on projects.

Proven ability to prioritize and handle multiple tasks independently; effective management of shifting priorities and time-sensitive projects to meet deadlines.

Exceptional interpersonal and collaboration skills.

Strong oral and written communication skills.

Excellent computer skills and proficiency with the Microsoft Office Suite; learns new tools and systems quickly.

Interest in conservation of land, ocean, and water resources, climate change resilience, and conservation funding and policies that benefit all communities.

Compensation and Benefits

Starting pay of $30 per hour (approximately $56,160 annualized salary). We have an alternate Fridays off work schedule (employees work 40 hours one week, 32 hours the next week) and offer a comprehensive benefit package including medical, dental, and vision insurance, 401k plan with a 5% match, and generous paid time off. RLF also offers a technology allowance, student loan repayment assistance, the Calm app, mental health benefits and approximately 17 paid holidays per year.
