We are hiring a Facilities and Office Manager to join our dynamic team. Reporting to the Head of Facilities and Administration, the successful candidate will be responsible for ensuring smooth operation of office facilities and daily administrative tasks. This role involves coordinating and solving maintenance requests; maintaining inventory/supplies; overseeing the installation, configuration, basic oversight of our software and hardware systems; and assisting with administrative duties to create a productive and pleasant work environment.
This full-time position is an on-site role in our office/lab in Davis, CA. The candidate is also expected to regularly visit our greenhouses based in Woodland, CA.
Responsibilities:
1. Facilities and Equipment Maintenance
- Serve as the point of contact for facilities-related issues and requests related to our office, laboratory, growth chambers, greenhouses, and other equipment.
- Repair equipment and maintain facilities directly when possible; or coordinate with the property manager, vendors and contractors for fast and accurate maintenance and repair work
- Conduct regular inspections of office facilities to identify and address maintenance needs. Create a schedule, inform our larger team, and project manage any and all upcoming needs.
- Coordinate with our team leads to assure that all equipment repairs and calibrations are properly documented and uptime as well as other functional goals are met.
2. Office and Lab Management
- Ensure office spaces are clean, secure, organized, and conducive to a productive work environment.
- Maintain, organize, and inventory office items, including key fobs, general supplies, and some laboratory items. Order and restock as needed.
- Assist with office layout changes and furniture arrangements as needed. I.e., set up and breakdown conference rooms and meeting spaces in conjunction with company events.
- Ensure compliance with health and safety regulations. Conduct regular safety inspections and address any hazards or issues. Assist in emergency preparedness and response plans. Participate in company Safety Committee meetings.
- Basic IT administration, including documenting all hardware/software licenses, storing and allocating equipment, and being a point-of-contact for employee issues.
- Basic administrative support, including filing, data entry, daily mail and deliveries, and document management
- Act as a liaison between office staff and external service providers. Communicate effectively with employees regarding office policies and updates
Requirements
- Education: High school diploma or equivalent; associate’s degree or vocational training preferred
- Experience: 2+ years of experience in office management, facilities maintenance, information technology, or a related field
- Knowledge of office and lab equipment with technical ability to diagnose issues and make basic repairs directly
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Attention to detail and problem-solving skills
- Ability to handle confidential information with discretion
- Flexibility to work in a quickly changing startup environment, adaptable to take on different tasks
- Ability to lift 50 lbs
- Preferred: Certifications in facilities management (e.g., IFMA, BIFM)
- Preferred: Experience in managing facilities and IT in the agriculture-technology or biotechnology industry, specifically with experience working with growth chambers, greenhouses, and laboratory equipment
Benefits
The US base salary range for this position is $70,000 - $85,000 annually. Within the range, individual pay is determined by factors including job-related skills, experience, and relevant education or training.
