Full Job Description

City Wide Facility Solutions is seeking an Office Manager for our dedicated team. As the leading management company in the building maintenance industry, we focus on providing comprehensive solutions to clients across North America. In this role, you will be an essential part of ensuring smooth operations within our franchise location.

Your primary responsibilities will include overseeing daily administrative functions, managing office resources, and serving as the point of contact for clients, staff, and vendors. The ideal candidate is organized, detail-oriented, and has a background in managing office activities in a service-oriented environment.

Key Responsibilities:

  • Manage office operations and administrative tasks to ensure efficiency.
  • Operational administration, not limited to customer and vendor document creation/management, supply inventory management, regulatory compliance, CRM management, operations support, and client services support.
  • Front desk management as the first point of contact for visitors and callers. This includes providing exceptional customer service while greeting guests, directing them to the appropriate person or department and handling inquiries.
  • Maintain accurate client and contractor records within the CRM system.
  • Assist with HR responsibilities, including posting jobs, initial screening, employee onboarding and compliance.
  • Coordinate schedules, meetings, and special events for the office.
  • Managing company fleet vehicles, to include registration and planned maintenance.
  • Procurement and receiving of office supplies and materials.
  • Contract management for vendors servicing the office and the company.
  • Assist CEO and VPs in any way needed to support company initiatives, goals and objectives.
  • Tracking and facilitating training requirements.
  • Prepare regular reports for management on office performance.

Requirements

  • High School Diploma or equivalent required; Associate's Degree in Business Administration or HR preferred.
  • Ability to maintain a high level of accuracy in document preparation and data entry.
  • 2+ years of experience in an office management or administrative role.
  • Proficient in Microsoft Office Suite and CRM software, Microsoft Dynamics experience is a plus.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Detail-oriented with a customer-focused mindset.
  • Ability to work collaboratively within a team and independently.
  • HR credential is a plus.
  • Experience in the facilities management industry is a plus.

Job Type: Full-time

Pay: $75,000 - 85,000 base per year *based on experience*, eligible for an annual bonus
