Job Title: Operations & Onboarding Assistant

As we continue to expand, we are seeking a proactive and detail-oriented Operations Assistant to support our operations with a focus on Onboarding and Retention of our direct care staff.
Position Overview:
As our Operations Assistant, you'll focus on making sure our office runs smoothly and helping new team members get settled in. You'll handle office tasks, assist with paperwork for new hires, and help organize events to keep everyone engaged.
Responsibilities:
- Open and close of the office.
- Handle general office tasks such as answering phones, responding to emails, and greeting visitors.
- Manage office supplies inventory and place orders as needed.
- Collect and distribute the companies mail in a timely manger.
- Assist in the coordination of onboarding activities for new hires, including paperwork completion, orientation sessions, and training schedules.
- Maintain accurate records of employee information, including contact details, employment status, and training records.
- Provide administrative support to the HR and Services departments, such as drafting correspondence, organizing files, and preparing reports.
- Assist in organizing company events and activities to promote team building and employee engagement.
- Create and distribute the company newsletter and tenure recognition.
- Screen resumes and conduct initial phone screenings to assess candidate qualifications and fit.
- Coordinate and schedule interviews with candidates, ensuring a seamless experience for both candidates and interviewers.
- Post job openings on various platforms and manage incoming applications.
- Assist with our light-duty programs within IABA adult services.
- Other duties as assigned.
Requirements
- Proven experience as an office assistant, administrative assistant, or similar role.
- Familiarity with recruiting and onboarding processes, including sourcing, screening, and interviewing candidates.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent communication and interpersonal skills, with a customer service-oriented approach.
- Proficiency in MS Office Suite (Word, Excel, Outlook) and experience with HRIS or ATS software is a plus.
- Attention to detail and the ability to maintain confidentiality.
- A proactive attitude with a willingness to take on new challenges and responsibilities.
- Associate degree in Human Resources, Business Administration, or a related field is preferred but not required.
