Full Job Description
IHDLab is looking for a highly organized and proactive Personal Assistant to the CEO to join our team. As a Personal Assistant, you will provide comprehensive administrative support to the CEO and play a crucial role in managing their day-to-day activities. You will handle a wide range of tasks, including scheduling appointments, managing correspondence, and coordinating travel arrangements.
Responsibilities
- Manage the CEO's calendar, schedule appointments, and coordinate meetings
- Handle incoming calls and correspondence, responding to inquiries or redirecting them as necessary
- Prepare and distribute memos, emails, reports, and presentations on behalf of the CEO
- Coordinate and prioritize tasks and deadlines to ensure effective time management
- Organize and maintain files, records, and documents
- Make travel arrangements and accommodations for the CEO
- Assist in preparing for meetings, including setting up meeting rooms and arranging necessary materials
- Conduct research and collect data to assist the CEO in making informed decisions
- Handle confidential and sensitive information with utmost discretion
Requirements
- Bachelor's degree in Business Administration or a related field
- Proven experience as a Personal Assistant, Executive Assistant, or similar role
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to maintain professionalism and confidentiality
- Strong attention to detail
- Ability to anticipate needs and proactively address issues
- Flexibility to adapt to changing priorities and work under pressure
- Exceptional problem-solving skills
