INNOCEAN USA, a full-service advertising agency located in Huntington Beach, CA is seeking a Receptionist to join our team!
This is a full-time, on-site role, 5 days week.
We are seeking someone with 1+ years of experience working in a fast-paced office environment as a Receptionist or Executive Assistant.
DEPARTMENT OVERVIEW
The Facilities & Office Administration team consistently provides a safe, clean, productive, and well-maintained workplace by planning and delivering professional services that are creative, collaborative, sustainable and supportive of Innocean’s core mission.
POSITION OVERVIEW
The Receptionist is responsible for greeting guests, maintaining lobby appearance, and providing overall administrative support. This person will be working with all levels of employees in the agency and a professional demeanor with strong communication skills is essential.
This position is an integral member of the Facilities & Office Administration team, which handles facilities services such as the mailroom, reception desk, conference rooms and café. The team works very closely together to provide seamless service to Innocean employees and guests. The Receptionist will be called upon to help or fill-in wherever needed but also enjoys reciprocating assistance from the other members of our team on projects under their purview.
KEY RESPONSIBILITIES
- Greet, direct and announce visitors in a professional and friendly manner
- Answer and route all incoming phone calls
- Manage creation, distribution, and collection of access badges
- Maintain parking access and validation log
- Assist with contests and events, prizes, flowers and corporate gifts
- Procurement, distribution and management of office supplies
- Handling of mail and packages, including scanning and distributing mail and checks
- Managing setup, procurement, and invoice process for certain vendors
- Perform clerical duties such as, but not limited to, filing, photocopying, creating worksheets, and drafting company emails as directed
- Manage meeting requests including, but not limited to, cater ordering, refreshment setup, and audio/visual assistance
- Monitor conference rooms for conflicts and resolve accordingly
- Interface with onsite security guards and day-porters
Requirements
DESIRED SKILLS & QUALIFICATIONS
- 1+ years of experience working in a fast-paced office environment as a Receptionist or Executive Assistant.
- Experience working in a large environment including C-Level Executives and a high volume of calls and meetings.
- Professional front-office appearance and communication skills.
- Experience with Microsoft Office.
- Strong administrative skills and high attention to detail.

The compensation for this role is $22 hour.
