Job Overview: The Senior HR Admin will be responsible for overseeing and managing administrative HR functions, including payroll, compliance with California and federal employment laws, benefits administration, and other HR-related tasks. This role is crucial in ensuring our HR processes run smoothly and adhere to California state, local, and federal regulations.
Key Responsibilities:
- Payroll Administration: Manage payroll processing using Paychex software, ensuring timely and accurate payments while adhering to California state tax regulations, wage and hour laws, and mandatory reporting requirements.
- Benefits Administration: Administer employee benefits, including health insurance, retirement plans, and other employee perks, ensuring compliance with California-specific regulations, such as Cal-COBRA.
- Compliance and Reporting: Ensure the company complies with all California state and federal employment laws, including specific state regulations on wage and hour compliance, meal and rest breaks, overtime rules, and employee classifications.
- Employee Records Management: Maintain and manage employee records in accordance with California’s strict privacy laws, including proper handling of personnel files and documentation related to employment, terminations, and leave requests.
- Policy Implementation: Assist in developing and implementing HR policies and procedures that comply with California-specific requirements, including regulations around workplace safety, anti-harassment training, and family and medical leave.
- HR Software Management: Utilize HR software, including Workable, to manage administrative tasks such as onboarding and offboarding processes, time-off tracking, and maintaining the organizational chart. Ensure all workflows are optimized and compliant with company policies and California laws.
- Onboarding Administration: Oversee the administrative aspects of the onboarding process, including coordinating new hire paperwork, setting up employee profiles in HR systems, and scheduling onboarding sessions. Manage the distribution and collection of employment contracts, NDAs (Non-Disclosure Agreements), and other necessary documents to ensure compliance and secure company information.
- HR Audits and Reports: Conduct audits specific to California regulations, such as wage and hour audits, and generate compliance reports for management on key HR metrics.
- Employee Relations Support: Provide guidance on California-specific employee relations matters, including state-mandated conflict resolution practices, responding to complaints of discrimination or harassment, and handling terminations within the framework of California law.
- Support International Team: While the primary focus is on the domestic team, assist with administrative HR tasks related to the international team as needed.
Requirements
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 5+ years of HR administration experience, preferably with knowledge of California employment laws, including wage and hour laws, leave requirements, and compliance regulations.
- Strong understanding of payroll processing and benefits administration, with experience using Paychex or similar payroll software.
- Familiarity with HR software such as Workable for managing onboarding, offboarding, time-off tracking, and organizational charts.
- Proven experience handling onboarding processes, including managing employment contracts, NDAs, and other critical documentation.
- Excellent knowledge of federal, state, and local employment laws, with an emphasis on California-specific regulations.
- Strong organizational and communication skills with a keen attention to detail and the ability to manage confidential information with discretion.
- Proactive problem-solving skills and a hands-on approach to improving HR processes.
- Ability to work independently and collaboratively within a fast-paced, scaling environment.
- Experience working in a startup environment and familiarity with startup culture is a plus, demonstrating adaptability and a flexible approach to evolving company needs.
