SmartLab Learning is a comprehensive, K-12, project-based learning environment and curricula that prepares students for the careers of tomorrow. We are currently seeking an Executive Assistant to join our team! The Executive Assistant will serve as a key support member of a collaborative, geographically diverse and entrepreneurial leadership team. The EA will function as the CEO’s assistant providing organizational and logistical support in addition to oversight and execution support to a broad range of projects.
Duties And Responsibilities
- Establish strong partnerships with the entire CLS Leadership Team.
- Anticipate key issues and informational needs of CEO and the CLS Leadership Team
- Monitor the performance of key projects for the Leadership Team and CLS Board of Directors.
- Assist the CEO in maximizing available time, travel, productivity, follow up, feedback, customer, and employee responses to help create a strong organizational culture.
- Manage the flow of calls, the company and CEO’s calendar daily
- Proactively anticipate and follow up as much as possible
- Foster an environment of proactive problem solving, accuracy and speed to resolution
- Follow up as much as possible to allow the CEO to maximize time on the most important issues
- Assist the CEO in managing key external relationships (customers and business partners)
- Maintain an accurate relationship database and timely outreach process
- Schedule calls and visits; provide written follow-up and a constant contact when needed to help us place the SmartLab brand at the forefront of prospective partners awareness
- Manage all incoming and outgoing communication to ensure that no information gets lost
- Respond on behalf of the CEO and ensure both internal and external voices are being heard
- Track and follow up on the required execution of all corporate documents, reporting requirements, approvals, etc
- Planning and execution for all key employee and customer events, including budget estimation and tracking for:
- Staff Happy Hours, Holiday Parties, Teambuilding Events & Strategic Planning Meetings
- Quarterly Board of Directors Meetings
- Annual SmartLab Conference
- Expense Report Management for CEO and other members of the CLS Leadership Team
Requirements
Education and Experience Needed
- 5+ years in an Executive Assistant or similar leadership support role
- Experience in building relationships and working with teams across all levels of the organization
- Experience in interacting effectively with decision-makers to drive speed and performance within the organization
- Practice and experience in diplomacy, discretion and confidentiality
- Experience in independently organizing employee events, board meetings, offsite business meetings and conferences, with limited direction from leadership
- Microsoft Office Suite experience a must, especially PowerPoint and Excel
- Experience in creating and/or collecting briefing documents, KPI reports, board documents and presentations ahead of events and meetings
