Denver Mental Health Collective is seeking a passionate and dedicated Group Practice Office Manager to join our team. As the Office Manager, you will play a crucial role in ensuring the smooth operation of our group practice, allowing our clinicians to focus on providing exceptional care to our clients.

In this dynamic role, you will oversee the day-to-day administrative and operational tasks of our practice. Your strong organizational skills and ability to prioritize multiple responsibilities will be essential in managing the office workflow. As the point of contact for clients and staff, you will contribute to creating a warm and welcoming environment. Your interpersonal skills and compassionate demeanor will be pivotal in building strong relationships with our clients and enhancing their experience.

Responsibilities

  • Determine the optimal configuration of the administrative team to best support Denver Mental Health Collective’s mission and growth. 
  • Recruit, train and mentor new administrative team members.
  • Supervise all administrative staff; set the administrative team schedule; ensure job descriptions are accurate and complete; evaluate administrative team member performance; maintain all administrative personnel records.
  • Coordinate administrative operations in collaboration with Clinical Director and Billing Manager. 
  • Support the training of new clinical team members regarding the electronic health records system, administrative policies, and office procedures.
  • General Client Care
    • Support the intake process and ensure new clients are quickly matched and scheduled or referred for specialized services. 
    • Collaborate with the Clinical Director to ensure provider caseloads are utilized effectively. 
    • Ensure client inquiries are quickly addressed.
    • Ensure required client paperwork is complete and up to date.
    • Document and resolve client concerns in a manner that strengthens our relationship with the client, whenever possible.
  • Office Operations
    • Be available to serve as the practice point of contact for the electronic health records system, information technology support needs, maintenance of office equipment, and upkeep or repair of office spaces.
    • Assist with purchases, including snacks and office supplies.
    • Help coordinate community-based inquiries and presentation requests.
    • Assist with scheduling intra-office meetings; ensure holidays and special events are documented in clinician schedules; ensure clinician scheduling templates accurately reflect their availability.
    • Provide general administrative support, including mail distribution and records requests.
    • Oversee the organization and cleanliness of common areas and administrative spaces.
    • Support the onboarding process to include phone extensions, email addresses, business cards, keys and clinical office set up.
    • Helps coordinate administrative and finance team functions.
    • Support clinicians and the leadership team with special projects and practice-wide communications.

Requirements

  • Associates degree in business administration or a relevant field.
  • At least one year of personnel and office management experience, preferably in a healthcare or mental health environment.
  • Strong organizational skills, with the ability to multitask and prioritize effectively.
  • Exceptional attention to detail and accuracy in data entry and record-keeping.
  • Excellent verbal and written communication skills.
  • Proficient using Google Workspace, electronic health records (EHR), and other relevant tools and applications.
  • Demonstrated ability to work independently and as part of a team, maintaining professionalism and confidentiality.
  • A commitment to providing excellent customer service and a passion for making a positive impact in the mental health care field.

  • $55,000 - $65,000 USD per year
