Position Overview:
Urban Villages is seeking a full-time Office Coordinator (OC) to split their time between our company and Colorado Impact Fund, providing essential administrative services. The ideal candidate is reliable, highly motivated, and exceptionally well-organized, with excellent interpersonal skills. Responsibilities include assisting the Office Manager with administrative duties, supporting office functions, and offering general administrative support to executives and team members. The ideal candidate will demonstrate superb communication and multitasking abilities, a positive attitude, and a strong work ethic.
Administrative duties:
- Assist executives with scheduling, travel planning, administrative tasks, and personal requests
- Provide project and administrative support to office staff as needed
Colorado Impact Fund/ Urban Villages Office Support duties:
- Order office and kitchen supplies and manage supply vendors
- Maintain and coordinate office meeting spaces, including scheduling, preparing rooms, and managing equipment (Apple TVs, conference phones, etc.)
- Ensure office cleanliness and organization, including daily maintenance of common areas, conference rooms, copy rooms, and kitchen spaces
- Organize office decluttering and maintain overall organization
- Coordinate board and leadership meetings and events
- Perform other assigned tasks as needed
Requirements
- Valid Driver's License
- At least 2 years of experience as a receptionist or administrative assistant
- Exceptional customer service and professional phone manner
- Excellent organizational skills with attention to detail and accuracy
- Strong verbal and written communication skills
- Strong interpersonal skills and ability to interact professionally with a wide range of clientele
- Exceptional work ethic and ability to work independently with minimal supervision
- Ability to work well both independently and as part of a multidisciplinary team
- Ability to manage multiple tasks simultaneously while maintaining focus and accuracy
- Discretion in handling sensitive information
- Proficiency with Google Workspace and Microsoft Office applications
- Knowledge of Mac Operating Systems preferred
- Certified Colorado Notary preferred, or willingness to obtain certification
