Full Job Description

Seeking a highly organized and proactive Personal Assistant for the Founder of a California based winery. This role involves managing various assets, handling communications, coordinating travel, maintaining schedules, and ensuring the efficient operation of daily activities. The ideal candidate possesses exceptional organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. This is a remote position that would require occasional travel.

Key Responsibilities

  • Manage and organize various assets, including properties, vehicles, and other possessions across multiple locations.
  • Track and manage maintenance schedules and renewal dates for all assets.
  • Handle all incoming and outgoing communications, including emails, phone calls, and mail.
  • Prepare and submit regular reports on asset management.
  • Coordinate meetings and events, including scheduling, invitations, logistics, and preparation of materials.
  • Compile weekly reports detailing all tasks and activities for review.
  • Coordinate all travel plans, including booking flights, hotels, and activities.
  • Travel in advance when necessary to ensure all arrangements are in order.
  • Organize and manage travel-related documents.
  • Maintain and manage schedules, appointments, and travel arrangements.
  • Organize digital files with clear and accessible structures.
  • Assist with data entry, filing, and organizing documents, records, and contacts.
  • Oversee various tasks and requests, ensuring accuracy and completeness.
  • Set and manage reminders for important dates and deadlines.
  • Manage resources, staff agreements, and responsibilities.
  • Review bills and approve payments after obtaining necessary summaries.
  • Optimize the use of various reward points and perks.
  • Conduct research on products and necessary orders.
  • Other duties and tasks as assigned.

Requirements

  • Proven experience as an executive assistant or in a similar role
  • Exceptional organizational and multitasking abilities
  • Strong communication and interpersonal skills
  • Proficiency with Google Drive and Microsoft Office Suite
  • Ability to travel as needed
  • High attention to detail and accuracy
  • Strong problem-solving skills and the ability to anticipate needs
  • Discretion and confidentiality
