CeLeen, an operating firm of Command Holdings, is seeking an Executive Assistant (EA) to support USAID's newly formed Bureau for Democracy, Human Rights, and Governance (DRG).

The Executive Assistant must have the capacity to act independently and proactively to anticipate the needs of a complex organizational unit. They will be responsible for providing operations support and general administrative duties supporting the DRG Bureau’s senior leadership by providing effective coordination, communication, and implementation of its program portfolio. Additionally, the Executive Assistant will provide backup support to the other DRG Bureau support positions.

The candidate must have strong communication and coordination skills, as well as a strong sense of responsibility and a high customer service standard. The candidate will keep track of, organize and follow-up on all Front Office actions, be highly organized, pay close attention to detail, have excellent proofreading skills with a mastery of English grammar, and be able to multitask efficiently and effectively. The candidate must demonstrate sound judgment and excellent interpersonal and teamwork skills. The Executive Assistant will face situations that require an ability to manage a variety of complex tasks under extremely short deadlines.

Responsibilities may include but are not limited to:

  • Ensure accuracy of information and provide program support by assembling and preparing charts, data, and reports.
  • Serve as the point of contact concerning administrative issues. Coordinate, assemble and finalize correspondence such as action memos, executive correspondence, procurement documents, and all memoranda related to administrative support issues.
  • Maintain and update office tracking documents/systems in relation to supporting the management of the DRG Bureau’s office operations, memoranda, correspondence (which includes logging a central correspondence tracker), and support to Bureau teams in the setting up and/or maintenance of official files.
  • Maintain and update communication lists including Washington mail lists, DRG Bureau technical program field staff lists, emergency contact lists, and award Contracting Officer’s Representative (COR) lists.
  • Serve as one of the DRG Bureau’s official file managers (in coordination with other EAs). Supports the DRG Bureau’s management of and compliance with agency deadlines and taskers, and maintains official files according to agency regulations.
  • Schedule meetings and events for DRG Bureau teams and provide escort support for visitors attending DRG Bureau sponsored meetings/events.
  • Undertake, perform and monitor established administrative management requirements, including coordination of DRG Bureau team compliance with Agency records management file plans.
  • Provide advice and guidance to managers and employees on questions and matters related to the administrative services provided.
  • Determine pertinent issues and collect relevant information from a variety of sources in adherence to Agency guidelines, policies and regulations.
  • Perform other related duties as assigned.

Expected salary range: $75,000-$90,000

Multiple positions may be hired from this announcement.

Work Environment:

  • Moderate noise (i.e. business office with computers, phone and printers) and /or occasional Loud noise (airfield, large equipment).
  • Ability to sit at a computer terminal for an extended period of time.

Physical Demands:

Travel:

  • 0-10% / Minimal travel.

Requirements

Basic Qualifications

  • Bachelor’s Degree.
  • Must have the ability to obtain and maintain a Secret Clearance. (Eligible to pass Federal security clearance process. Please visit the link for FAQs: https://www.dcsa.mil/mc/pv/mbi/gicp/).
  • 1+ year of experience implementing and managing communications, documents, scheduling, and administrative support duties in a large organization.
  • Experience supporting senior leadership/senior executives in a large organization with administration and management operations.
  • Outstanding communication skills, influencing abilities, and client focus.
  • Professional proficiency in English is required.
  • Demonstrated proficiency in using all Microsoft Office applications.
  • Applicants must be currently authorized to work in the United States on a full-time basis. CeLeen will not sponsor applicants for work visas for this position.

Preferred Qualifications

  • Current, active Secret clearance.
  • Experience coordinating clearances for memos, correspondences and other documents, and routing to appropriate personnel.
  • Experience with US Government Record Management Policies.
  • Access and other database software applications, and Google platforms and systems.
