Full Job Description
WWC Federal is seeking a candidate to join our Department of State, Bureau of Consular Affairs team in the Office of the Comptroller (CA/C). CA/C houses the strategic planning, financial management, and oversight and data divisions for CA. The Special Assistant reports directly to the SES-level Comptroller.
Duties may include, but are not limited to:
- Function as a Special Assistant providing coordination, quality control, and process flow management for communications and taskings from and to CA/C and among its constituent divisions.
- Respond to and direct the flow of taskers and information between CA/C, the CA Front Office, and other CA and Department of State stakeholders, as well as other federal agencies, and coordinating, tracking, and contributing to tasks within the office.
- Process incoming clearance requests by coordinating with Team Leads and Division Chiefs to identify equities and task out according to portfolio coverage.
- Plan, coordinate, and ensure Comptroller’s schedule is strategically managed and followed; including managing meeting and appointment invitations against recurring meetings; and ensuring required briefing materials, meeting minutes and notes, and other meeting-related materials are promptly processed.
- Prioritize conflicting needs; handle matters expeditiously and proactively; and follow projects through to successful completion, often with deadline pressures.
- Successfully complete critical tasks with a proactive, hands-on approach, and support tasks that facilitate the principal’s ability to effectively lead the office.
- Work with CA’s Staff Assistants and Executive Assistant to monitor internal and external tasks, deadlines, and deliverables.
- Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.
- Ensure a seamless and timely flow of information, policy guidance, and advice between CA/C and other CA Offices and Directorates.
- Provide training and support to CA/C colleagues regarding office policies and procedures.
- Manage and complete the CA/C Time & Attendance submission process on a biweekly basis.
- Perform office management duties as assigned by the CA/C Management team.
- Maintain and update information sharing sites, including SharePoint & Teams.
Work Environment:
- Moderate noise (i.e. business office with computers, phone and printers) and /or occasional Loud noise (airfield, large equipment).
- Ability to sit at a computer terminal for an extended period of time.
Physical Demands:
- While performing the responsibilities of the job, the employee is required to sit, stand, talk, and hear.
- Employee is often required to sit and use their hands and fingers to operate a computer.

Travel:
- 0-10% / Minimal travel expected.

Requirements
Basic Qualifications
- Bachelor’s Degree.
- Current, active Secret security clearance.
- 1-3 years of experience as a management consultant or high-level executive assistant.
- Strong interpersonal skills with a demonstrated ability to interact effectively with colleagues and personnel at various Department levels.
- Expert communication skills with the ability to communicate complex topics effectively and in a clear and concise manner.
- Strong analytical skills, especially toward evaluating the efficiency and effectiveness of program operations.
- Demonstrated proactive approach to problem-solving with strong decision-making capability.
- Ability to plan, schedule, and conduct projects and studies to evaluate and recommend ways to improve the effectiveness and efficiency of work operations in a program or support setting.
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
- Forward-looking thinker, who actively seeks opportunities and proposes solutions.
- Highly resourceful team-player, with the ability to also be effective independently.
- Excellent judgment and discretion.
- Outstanding communication skills, influencing abilities, and client focus.
- Demonstrated proficiency in using all Microsoft Office applications.
- Professional proficiency in English is required.

Preferred Qualifications
- Master's Degree.
- Previous experience with or knowledge of Department of State operations, especially Consular Affairs.
- Previous experience with a federal agency's document clearance process.
