IT Concepts is looking for an experienced Program Assistant in support of its Human Resources Transactional Services (HRTS) program that provides HR services for the US Agency for International Development (USAID). This role will provide critical administrative support for the Operations Center, one of 10 Centers within USAID’s Office of Human Capital and Talent Management. This position is a great opportunity for a candidate with strong organizational skills and experience providing administrative support to federal agencies and or programs.

Responsibilities:

  • Support Project Delivery:
    • Recommend innovative methods and strategies to resolve problems, inefficiencies, or data integrity challenges while ensuring the integrity of actions taken.
    • Process personnel action requests through the use of various federal and agency-specific systems and platforms, applying decision logic to determine the correct nature of action code and process steps to each.
    • Assure that official case files are properly maintained with complete documentation to support recommended or final action.
    • Assist in maintaining project schedules, ensuring deadlines are met, and key deliverables are accurate.
    • Help develop and track team goals, supporting the team to deliver superior results to the client.
    • Conduct relevant research and data analysis to identify root causes of issues and assist in creating reports.
    • Support onboarding for staff, including initiation of various access, permission, and laptop requests.
    • Manage timekeeping compliance communications for one or more HCTM Centers.
  • Administrative and Coordination Tasks:
    • Serve as the primary support for providing administrative and systems assistance, including calendar management and meeting preparation.
    • Take detailed notes during meetings and prepare minutes for distribution, highlight key decisions, action items, and deadlines.
    • Follow up on action items assigned during meetings to ensure they are completed on time, provide regular updates on the status of these tasks.
    • Prepare regular reports on activities, meeting outcomes, and project progress, use data visualization tools to create clear and concise reports.
    • Coordinate with the client to ensure alignment on priorities and address any administrative needs.
    • Support the team in managing tasks, maintaining responsibility for the accuracy of work products.
    • Engage with other team members, cross-train in various areas of work, and collaborate to meet customer service expectations
    • Review reports and dashboards to manage workload, addressing the highest priority work first and working within standard expectations; report any delays in expected completion timelines to your team lead for assistance.
  • Process Improvement and Efficiency:
    • Assist in understanding core business processes and technology capabilities, looking for ways to optimize business functions.
    • Identify trends or repeated activities and suggest standard responses, templates, potential automation, or other improvement opportunities to your team lead.
    • Assist in developing presentations to show the status of the team’s work, plans to mitigate risks, and process improvement suggestions.
    • Assist with other duties as requested.

Location: On-site in Washington, DC

Salary Range: $65,000-$75,000. Factors which may affect pay within this range may include geography/market, skills, education, experience, and other qualifications of the successful candidate.

Requirements

  • Bachelor’s degree and up to 3 years of experience in administrative support or project coordination, preferably in the Federal sector.
  • Substitutions for education requirement:
    • Associate’s degree plus 4 to 6 years of experience in administrative support or project coordination, preferably in the Federal sector.
    • 6 to 8 years of experience in administrative support or project coordination, preferably in the Federal sector
  • Excellent customer service acumen and demonstrated patience to solve customer needs.
  • Great attention to detail with the ability to demonstrate how improvements have been suggested and implemented in previous roles due to idea generation/observation of inefficiencies
  • Demonstrated ability to organize, prioritize, and manage multiple tasks and work well under the pressure of deadlines.
  • Master level of Excel and Microsoft Office Suite Software (i.e. PowerPoint, Word, etc.).
  • Able to understand and respond effectively to complex or sensitive inquiries.

Preferred Skills & Qualifications:

  • Degree in Human Resources Management, Business Administration, or a related field.
  • Excellent writing skills, with the ability to document root cause of issues, course of action taken, and final resolution clearly in plain language.
  • Experience with business process re-engineering via digital solutions (e.g., ServiceNow, Salesforce, etc.).
  • Ability to train team members on procedures and communicate through multiple mediums (words, pictures, data, etc.) to reach different audiences.

Clearance Requirements:

  • Must be a US Citizen and reside in the United States.
  • Must be able to obtain and maintain the required USAID facilities level clearance for this role.
