IPEDS Administrative Coordinator
Purpose: AIR seeks a well-organized self-starter to provide operational support in a fast-paced, team-oriented environment for a federally funded educational and training program that supports the U.S. Department of Education’s Integrated Postsecondary Education Data System (IPEDS) data collection.
Responsibilities:
- Provide administrative, operational, customer service, and logistical support for a large federal education and training program (IPEDS program).
- Manage course and workshop registrations, cancellations, waitlists, and customer record updates in management database.
- Set up and configure courses within the learning management system, liaising with the technology team for support.
- Assist in event planning and logistical support with contractors, associations, instructors, and stakeholders.
- Support virtual and in-person trainings and workshops, including event setup, coordination with instructors, facilitation of live events, and preparation of background materials, presentations, and other resources.
- Serve as the contact for participants, instructors, and mentors in the IPEDS training program. Manage phone and email inquiries, addressing questions and concerns directly or routing them to the appropriate team member for resolution.
- Support the IPEDS team with document and record management, including organizing and tracking contracts, instructor expense reports, and payment schedules.
- Support the IPEDS team with finance and accounting tasks, including routing, tracking, and reconciling payment requests, expenses, and reimbursements.
- Compile data on training metrics and evaluations, including participant profiles and feedback.
Requirements
- Two or more years of administrative experience, including customer support, meeting/event logistics, invoicing, reporting, and data entry.
- Familiarity with Microsoft Office products.
- Strong computer and internet skills; technically savvy and willing to learn new software/platforms.
- Attention to detail for accurate processing of registrations, invoicing, and payments.
- Excellent customer service skills.
- Strong interpersonal skills, with the ability to work independently and collaboratively in a remote environment.
- Experience planning events or meetings with external partners.
- Strong organizational, execution, and time management skills with the ability to prioritize multiple work demands.
- Curiosity and willingness to ask questions and problem-solve.
Preferred:
- Bachelor’s or associate degree.
- Experience working at a member or trade association related to higher education.
- Experience working remotely.
