H2 Performance Consulting (H2) is seeking a Project Analyst to support administrative tasks across multiple departments and two companies. Tasks include documentation and correspondence, holding meetings, defining processes and tracking progress of multiple projects in support of one or more executives, to facilitate an efficient, process driven operation. This position fully utilizes and embraces technology in the performance of the job.
The Project Analyst responsibilities will include:
· Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
- Ability to multi-task in fast paced environment.
- Capable of understanding and adhering to complex internal policies and government regulations.
- Project coordination:
- Able to track and coordinate activities across multiple projects
- Input and update information in databases and spreadsheets as well as creating templates and project tracking tools.
- Prepares meeting agendas, takes and distributes meeting minutes and tracks action items.
- Coordinates logistics for online meetings and ensures all read aheads are complete and disseminated.
- Able to define and document processes in multiple functional areas of the business.
- Draft and edit letters, reports, and other documents.
- Executive support:
- Provides administrative support to ensure efficient department operations.
- Ensures that deadlines are met and adapts to changing priorities.
- Requires extreme attention to detail and ability to meet deadlines.
- Create and maintain filing systems, both electronic and physical.
- Maintain order and structure to ensure executives don’t miss appointments or deadlines.
- Must write professionally, using proper spelling and grammar.
- Prepare communications such as memos, emails, invoices, reports and other correspondence.
- Write and edit communications, from letters to reports and instructional documents.
- Responds to emails and other digital queries and correspondence.
- Drafts and edits letters, reports, and other documents.
- Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
- Maintain order and structure to ensure executives don’t miss appointments or deadlines.
- Compliance Coordination:
- Research, compile, and summarize information for reports or presentations.
- Input and update information in databases and spreadsheets as well as creating templates and project tracking tools.
- Maintains ISO 20000 and 27001 processes throughout the year and works with other departments to obtain audit evidence
- Prepares meeting agendas, takes and distributes meeting minutes and tracks action items.
- Coordinates logistics for online meetings and ensures all read aheads are complete and disseminated.
- Communicates to all personnel as required for compliance
Qualifications:
· Expert experience in Microsoft Word and Excel.
· Travel to local offices anticipated
· 8-10 year’s experience
· Associate’s degree in business related studies
