Full Job Description
Works with FusionSleep team members to ensure medical records administration is completed accurately and with timeliness. Duties are primarily dedicated to and supporting team members, providers or patients with medical records requests, reviewing records for accuracy and ensuring records are available in the appropriate systems for clinical or billing processes.
Responsibilities
Sleep Study Delivery (Laboratory and home testing)
- QA/Review final report interpreted by the doctor
- Verify diagnosis code entry and update system with
- current study status
- Import interpretation and results to respective charts in required systems
- Sending (e.g. fax) reports and notes or communicating as needed to appropriate care team members (internal or
- external)
- Daily communication regarding completed deliveries to RCM/billing staff
Completing inbox tasks from multiple systems (via email, fax, voicemail, CareCloud EHR/PM and US mail).
- Processing provider or patient requests for medical records
- Processing 3rd party requests with regard to audits, disability claims or law office needs etc.
- Completing requests in the order they are received with timeliness and accuracy
- STAT requests should be completed immediately in cases where the patient is (or will be) with a care team provider (internal or external) on the same business day at the time of request.
Home Sleep Test Tracking
- Confirm that testing was completed and returned
- Reconcile outstanding HSAT appointments and reports
Third Party DME Referrals
- Act as the primary point of contact for external DME Companies
- Sending orders/prescriptions and all other required records to the patient’s preferred DME company
CMN Coordination
- Obtain signatures from appropriate internal providers b. Return signed CMN to external providers in a timely manner.
Collecting medical record processing fees
- Ability to calculate fees based on current retrieval rates
- Handling of payments via credit card or check
- Forwarding pf payments to the appropriate department (accounting)
Phone calls
- Assisting answering phone calls directed to the medical records department or individual extension
- Outbound calls to respond to voice mails
Letters and forms
- Obtaining necessary regulatory release forms for respective requests
- Generating letters for patients as needed for school or employment
- Sorting and distribution of US mail to the appropriate department
- Scanning mail or other documents received to patient charts in all appropriate systems
Requirements
- Minimum High School/GED Diploma;
- Associate Degree in Medical Records related field preferred or at least one year of customer/patient service related experience in a medical environment
