Essential Duties and Responsibilities
- Manage and verify patient information
- Coordinate with insurance providers to confirm coverage details and network participation in a timely manner.
- Collaborate closely with the intake team to ensure that they have the necessary information regarding coverage to relay to our clients.
- Collaborate with the clinical team to ensure all encounters are documented and closed in a timely manner.
- Ensure that all charges are captured and perform claims submission
- Proactively research payer guidelines related to ABA and keep all team members informed of rules and changes.
- Report any inconsistencies, challenges, or updates to the leadership team promptly.
- Performs other duties as assigned or requested
- Tracking authorization expirations and renewals
- Collaborating with clinical team to obtain necessary documentation for authorizations
- Submitting authorization requests and following up on pending authorizations
- Timely submission of appeal documents for authorization denials
- Schedule medical necessity review phone calls based on clinician availability and payer requirements
- Educating families on their insurance benefits and financial responsibilities
- Assisting with developing payment plans when needed
- Answering patient/family questions about billing and insurance
- Assist with audit requests and ensure that requested information is submitted timely
- Assist with internal audits of insurance processes
- Generating reports on key insurance metrics (e.g. authorization utilization, claims aging)
- Working closely with clinical, billing, and intake teams to ensure smooth insurance processes
- Participating in cross-functional meetings to address insurance-related issues
Knowledge, Skills, and Abilities
- Outstanding organization, accuracy, and attention to detail
- Strong communication skills, both written and verbal
- Ability to work remotely and manage time effectively
- Strong interpersonal skills to effectively work with patients’ families, payors, and team members
- Knowledge of Microsoft office and medical billing terminology
Travel
The Insurance Coordinator will occasionally travel to UNIFI clinics for training sessions and meetings. There will also be occasional travel for conferences and professional development training. Travel expenses will be paid for by UNIFI and mileage can be expensed.
Requirements
Experience and Education
- Minimum of 1 years of experience in medical front desk or billing
- Familiarity with ABA billing procedures and requirements is a significant advantage
- Proficiency in using the Rethink practice management system is highly desirable
- High school diploma or equivalent
- Associate degree or certificate in medical coding and billing preferred
