Full Job Description
Thomas Grace Construction is a nationwide General Contractor with a specialization in retail. We partner with our customers to complete a wide variety of construction programs from new store construction, remodels, rollouts and store fixturing installations. Due to continued and expected future growth, we are actively seeking to add a Project Coordinator to our Team. This position is located full-time in our corporate office in Stillwater, Minnesota.
Typical responsibilities include:
- Assist Project Management team with customer requests for bids including, but not limited to:
- Reviewing construction plans with PM team to manage plan distribution for bidding, prepare & distribute bid invites, track responses and bid lists
- Ensure bid coverage is achieved by contacting potential bidders by phone, email and texts
- Point of contact for questions on bid proposals from subcontractors and suppliers
- Assist with project cost qualifications and buy outs
- Assist with preparing awarded contracts from accepted proposals
- Ensuring required compliance documentation is accurate and up-to-date
- Assist Project Managers with maintaining critical job information.

- Completing Job Information binder prior to start date
- Assist Project Managers with various project administration responsibilities.
- Assist Project Managers with various project administration responsibilities.
- Administer and coordinate permits and licensing
- Schedule and monitor rental equipment
- Research and secure project team travel arrangements
- Assist Project Management team with project close out responsibilities
- Compiles necessary close out documents, warranties, as-builts
- Ensure Owners receive completed project close out documentation and manuals
- Assist with maintaining an efficient and effective office environment.
Requirements
- High school degree or GED equivalent.
- Knowledge of Windows based construction accounting systems.
- Experience with Procore is highly desirable.
- Knowledge of construction industry accounting and bid solicitation practices.
- Personal computer skills word processing, spreadsheet, and data entry skills.
- Able to coordinate and prioritize multiple projects simultaneously.
- Able to work under pressure to meet deadlines.
- Able to work on-site at corporate office location in Stillwater, MN.
