Hours: Monday - Friday 8:00 am - 4:00 pm
**This position works a hybrid work schedule - 2 - 4 days in the office and 1 - 3 days work from home**
RADIAS Health is seeking a Clinical Program Coordinator to support our Residential Support Services (RSS) program.
The Clinical Program Coordinator supports the day-to-day administrative operations and limited clinical oversight at RADIAS Health. This individual works closely with the Program Director and Managers, Mental Health Counselors and other staff to support operational requirements including intake and discharge of new residents, licensing process, absences residents within the RSS Homes; will assist the New Hire Orientation, assists with ADP training in the RSS program, and tracking training requirement completion. Ensures that 245(d) requirements are met. Ensures staff are adequately trained. Participates in service agreement process to ensure the program maintains financial stability. This position requires adherence to the confidentiality policy and ability to use a variety of technology. This position also provides recruitment and administrative support to the Human Resources department.
Candidate must have good interpersonal skills and ability to work with and be part of an interdisciplinary team. Able to use a computer for word-processing and data base management. Establish and maintain relationships with all levels of staff. The ideal candidate will be familiar be able to prepare monthly, quarterly and annual reports, maintain and update files, and have knowledge of symptoms and course of serious and persistent mental illness as well as medications and other therapies used to treat mental illness.
Duties and Responsibilities:
- Manage the RSS referral process including: coordinating with case managers of potential new residents, completing the initial psycho-social interview, and tracking potential new residents on the waitlist.
- Track new admissions, absences, and discharges of residents within the RSS Homes. Complete resident discharge process in Credible. Gather necessary clinical information to connect client's resources in the community upon discharge as needed.
- Assist Program Director and Program Manager with client admission process and discharge process, including gathering clinical information and developing clinically appropriate treatment plans, and connecting clients to necessary resources in the community upon discharge.
- Attend agency meetings, trainings, and participate in clinically oriented groups as requested by Program Director or Program Manager.
- Partake in orientation: conduct RSS program orientation; maintain and distribute all orientation documents, including orientation manuals of Leads; prepare emergency kits for new hires.
- Train new Leads on QuickBooks and provide QuickBooks assistance when needed, including obtaining receipts from all RSS locations as needed.
- Enroll and train new employees in College of Direct Supports and in ADP timeclock system.
- Serve as back up to the RSS Scheduling Coordinator to prepare, distribute, review and correct timecard detail reports for all RSS staff bi-weekly before all payroll deadlines, in partnership with HR Payroll and Benefits Manager.
- Assist Human Resources Business Partners with the RSS programs as requested. This includes phone interviews/screens, interview scheduling and coordination with management teams, in-person interviews, reference checks, ADP application management, pre-employment set up, and other duties in partnership with the HR Business Partners.
- Collect necessary data and prepare checklists for RSS employee transfers and terminations and distribute to necessary departments.
- Ongoing and open communication with Accounts Receivable and Accounts Payable.
- Participate as a member of the Safety Committee.
- Organize and assist managing supervision for all RSS float and casual Mental Health Counselors
- Prepare and organize documents for licensing reviews on a yearly basis and complete licensing paperwork and house walk through visits as necessary
- Partner with Program Director, Chief Financial Officer, Finance contractor, Lead and Lead Clinical Mental Health Counselors to review finances for each site.
- Participate and record meeting minutes for weekly Lead meetings.
- Update emergency procedures as needed and email them to the Lead team annually.
- Prepare anniversary certificates, birthday cards, and send birthday/anniversary emails.
- Prepare mailings and faxing regularly.
- Track annual first aid training and CEU hours for all RSS staff.
- Assist the RSS Nurse with tasks as needed.
Requirements
- Minimum of Bachelor's Degree in Behavioral Sciences or related field
- 2,000 hours of experience working with individuals with Mental Illness OR
- 2,000 hours of working in Residential Support Services program
- Excellent clerical and organizational skills.
Preferred
- Familiar with Microsoft Windows and Office programs.
- Experience with electronic health record.
