*Shippers Supply is currently located in Hopkins, Minnesota. Later in the year (around October 2024), Shippers Supply will be moving to a brand new facility in Golden Valley, Minnesota.
Objective:
The Purchasing Assistant will be responsible for the administrative support related to purchasing duties, such as vendor confirmations and follow-up, part number maintenance, light problem solving, quote assistance, and other duties that support the Purchasing team to focus on the team’s goals.
Key Accountabilities:
- Verify vendor confirmations of purchase orders for accuracy in part number, quantity, and pricing. Update purchase orders in the system with correct information from the confirmations.
- Monitor status of purchase orders on a daily basis and follow-up with vendors. Update current confirmation dates in the system as well as informing customer service if items will be later than their customer requested date.
- Must ensure current and accurate information is entered and reported in Acumatica.
- Expedite purchase orders with vendors.
- Setup new part numbers and change info on part numbers as needed.
- Assist in investigating and correcting invoice discrepancies.
- Assist with quotes for parts already set up in the system.
- Assist buyers with generating new purchase orders when required.
- Work effectively with warehouse staff to compare deliveries with purchase orders to identify discrepancies.
- Assist with COC (Certificate of Conformance) Management.
- Manage the Purchasing email inbox.
- Follow-up on simple product information requests.
- Assist with sample orders.
- Assists with vendor returns.
- Assist Procurement Manager with customer quality forms.
- Continually look for ways to improve processes and systems to make them more efficient and effective.
- Comply with all company policies and procedures.
- All other duties as assigned.
Requirements
Knowledge, Skills and Abilities
- High School diploma or GED required.
- Previous experience: 1-2 years in a purchasing, procurement, or accounting role is a plus, but not required. Experience in an office environment is beneficial.
- No experience in purchasing required if 1-2 years internal SSI experience.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Good communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Basic understanding of purchasing and inventory processes.
Work Environment
- Required to sit much of the day interfacing with phones, computers, and other office equipment in a normal office environment.
- Occasional lifting of up to 20 lbs.
