Job Summary:
The Controller is responsible for processing all non-profit foundation accounts payable, budgeting, tracking all grant acquisitions, providing 990 tax documents, and providing other finance support.
Duties/Responsibilities:
- Assists in developing the foundation’s overall budget document at the departmental level.
- Creates monthly reports; assists with or produces other reports as requested.
- Conducts various surveys, research, data analysis, cost-benefit analysis, and expenditure and revenue forecasting.
- Presents budget analysis to upper-level management at the beginning of each budgetary cycle.
- Develops, organizes, and maintains files, documents, and materials relating to budgetary practices according to the foundation’s policies.
- Oversees and compares departmental expenditures to the original budget.
- Attends and actively participates in committees, professional groups, and seminars to stay current regarding new developments and trends in budgeting and finance.
- Prepare A/P items, ensure accurate entry into accounting software, review and edit reports, and process payments.
- Maintain vendor relations, A/P records, and files, and obtain necessary approvals and documents to ensure timely payment to all vendors.
- Follow-up on outstanding checks and returned ACHs.
- Obtain vendor W-9s, required ACH documents, prepare and issue 1099s and 1096.
- Reconcile main cash account.
- Reconcile investment accounts.
- Reconcile monthly credit card activity.
- Maintain and follow up with vendors for annual recurring payments, including dues and subscriptions.
- Follow up and process employee expenses.
- Assist with preparing financial statements for the annual audit and tax filings.
- Create and maintain a system to monitor grants.
- Monitor and maintain multi-year grants and grant agreements.
- Provide necessary grant reports for the purpose of annual reports.
- Respond to grantor audit confirmation requests.
Requirements
- Excellent verbal and written communication skills.
- Proficient in accounting software and Microsoft Office Suite or related software.
- Thorough understanding of accounting and budgeting principles and practices, statistical methodology, generally accepted accounting principles and auditing standards.
- Thorough understanding of the principles of financial analysis and economics.
- Basic understanding of and ability to conduct cost-benefit analysis.
- Ability to skillfully perform detailed statistical analyses of budget activities.
- Ability to prepare and present clear, concise administrative and financial reports.
- Ability to work independently and complete work on schedule.
- Ability to interpret financial data contained in reports and ledgers.
- Ability to develop and maintain cooperative working relationships with various employees, vendors, stakeholders, and other interested personnel.
Education and Experience:
- Bachelor’s degree in finance, Budgeting, Accounting, or a related field. MBA preferred.
- At least two years of experience in analytical research, accounts payable, grant procurement, and reporting complex financial data or any combination of relevant experience and education in the non-profit sector.
