As an Administrative Support Specialist, you will play a crucial role in supporting the day-to-day functions of our office and ensuring the smooth operation of our business.
Responsibilities:
- Provide direct administrative support to our management staff, enabling effective and efficient office functions and business operations.
- Provide direct support of finance and billing operations such as Accounts Receivable and invoice management.
- Review and/or prepare various materials, documents, proposals, reports, and correspondence, ensuring accuracy and attention to detail.
- Assist management with projects and key initiatives, contributing to the achievement of company goals.
- File, scan, and index documents to maintain a well-organized and easily accessible database.
- Answer and direct phone calls, sort and deliver mail, and warmly greet guests to create a welcoming environment.
- Submit and reconcile expense reports, ensuring accurate and timely processing.
- Maintain office inventory supplies and replenish them as needed, anticipating the needs of our executive and managerial staff.
Requirements
Qualifications:
- One or more years of relevant work experience, demonstrating your proficiency in administrative support.
- High school diploma or equivalent required; college degree preferred.
- Proficiency in the Microsoft Office suite is essential, and experience with CRM and project management tools is required. You should also possess an aptitude for learning new software and systems.
- Strong attention to detail is a must, ensuring accurate and error-free work.
- A positive and professional work attitude that fosters collaboration and teamwork.
- Ability to multitask, prioritize effectively, and manage your time to meet deadlines.
- Comfortable working in a fast-paced environment and easily adaptable to changing circumstances.

This is an hourly, non-exempt position with a salary range between $18 - $22/hour.
