EVENT DESIGNER
Since its foundation more than 30 years ago, Overland Entertainment has become a premier producer of events and brand activations, from 10,000 person ++ Festivals to exclusive invite-only galas, to corporate sponsored events and incentives. We work with our clients to develop events with top-notch entertainment, design, and technical support. We are a boutique agency with a small but mighty in-house team. We have a diverse mix of producers, designers, technical experts, and talent management team that oversee projects from creative concept all the way through to final execution. We are a women-owned business, a trusted resource to our clients, and maintain decades-long relationships in an office with very low turnover.
Position Overview:
We are seeking a talented Event Designer, proficient in Vectorworks, to join our dynamic Design team and play a pivotal role in crafting unforgettable event experiences.
As an Event Designer, you will be responsible for conceptualizing, designing, and executing innovative event designs that align with our clients’ visions and brand identities. Your expertise in transforming ideas into captivating visual realities will make a significant impact on the success of our events.
This is a full-time, in person position, in our midtown Manhattan office, with some limited remote days. NYC area residency required.
Responsibilities included but not limited to:
1. Client Consultation: Meet with clients to understand their event objectives, theme preferences, target audience, and overall vision for the event.
2. Concept Development: Brainstorm and develop creative event design concepts, considering elements such as decor, lighting, floral arrangements, furniture, signage, and overall spatial arrangements.
3. Visual Presentations: Create visual presentations, mood boards, renderings, and floor plans to effectively communicate design concepts to clients and gain their approval.
4. Budget Management: Work within the designated budget for event design, providing cost estimates for different design elements and ensuring cost-effective solutions.
5. Vendor Coordination: Collaborate with vendors, fabricators, and suppliers to source the necessary materials, props, and decor elements needed for the event.
6. Event Styling: Curate and select decor elements, including linens, centerpieces, foliage, and other design details to create a cohesive and visually stunning event.
7. Spatial Planning: Design the layout of event spaces, considering flow, seating arrangements, focal points, and traffic patterns to optimize the guest experience.
8. Logistics Integration: Collaborate with producers and technical production teams to ensure seamless integration of design elements with technical aspects, such as lighting, sound, and audiovisual equipment.
9. On-Site Setup: Oversee and participate in the setup and installation of design elements on-site, ensuring precision and attention to detail.
10. Adaptability: Be flexible and adaptable to accommodate last-minute changes or unexpected challenges during the event planning and execution process.
11. Creativity and Innovation: Stay up-to-date with the latest event design trends, industry innovations, and emerging technologies to infuse fresh and creative ideas into event designs.
12. Client Communication: Maintain regular communication with clients throughout the design process, keeping them informed of progress, seeking feedback, and making necessary adjustments based on their preferences.
13. Problem Solving: Address design-related challenges and find creative solutions to overcome obstacles that may arise during the event planning and execution.
14. Post-Event Evaluation: Gather feedback from clients and event attendees to evaluate the success of the design and identify areas for improvement for future events.

Requirements
Qualifications and Skills:
- Proven experience (4+ years) as an Event Designer or related role, with a portfolio showcasing a diverse range of successful event designs.
- Bachelor's degree in Event Management, Interior Design, Fine Arts, or a related field (or equivalent work experience).
- Proficiency in VECTORWORKS, also Adobe Creative Suite (Illustrator, Photoshop), SketchUp, or similar tools.
- Exceptional creativity and artistic vision, with an eye for detail and aesthetics.
- Strong project management skills, with the ability to multitask, prioritize, and meet tight deadlines.
- Excellent communication and interpersonal skills, capable of building positive relationships with clients, colleagues, and vendors.
- Ability to work independently as well as part of a team in a fast-paced, dynamic environment.
- Flexibility to adapt to changing client preferences and event requirements.
- Strong problem-solving abilities and the capacity to handle challenges with a positive and proactive attitude.
- Willingness to work irregular hours, including evenings and weekends, to work events as required.
