Position: Deputy Director of Administration and Resource Development

Department: Administration and Resource Development Department

Supervisor: President and Executive Director

Salary: $110,000 - $135,000 annually

Anticipated Start Date: October 2024

Location: Hybrid (based in Oregon). This role allows for up to three days of remote work per week, with a requirement to attend monthly meetings in Multnomah County.

Physical/Cognitive Details: Regularly required to use a computer and phone to perform work and communicate with others for several hours each day. The noise level in the office is moderate.

Imagine Black (formerly known as PAALF Action Fund) helps our Black community imagine the alternatives we deserve and build our political participation and leadership to achieve those alternatives. Since our start in 2009, we have envisioned a world where people of African descent enjoy the rights, resources, and recognition to be a thriving, resilient, and connected community.

At Imagine Black, we have strengthened our commitment to a Black Queer Feminist (BQF) theory and practice. BQF provides a more holistic understanding of our conditions and connectedness as Black people. As a result, we understand that liberation for all Black people can only be realized by lifting up the voices and experiences and prioritizing the issues of historically silenced and vulnerable groups within Black communities – specifically, queer, trans and GNC, femme, poor, disabled, working and undocumented people (adapted from BYP100).

POSITION SUMMARY

The Deputy Director of Administration and Resource Development will oversee the finance, operations and development teams to ensure alignment with the organization's mission, vision, and strategic plan for Imagine Black and Imagine Black Futures. This is a new role that will supervise staff and contractors of finance, operations, and development.

This position is ideal for candidates with accounting, fundraising/development, and operations experience seeking mission-focused work. Our preferred candidate will come with nonprofit fundraising and accounting experience.

The Deputy Director of Administration and Resource Development will do best if they can adapt to changing environments as Imagine Black continues to build and strengthen its finance, operations, and development systems.

RESPONSIBILITIES

Development Management and Oversight (60%)

  • Provide strong, creative, and strategic leadership for all fundraising initiatives at Imagine Black (IB) and Imagine Black Futures (IBF), setting ambitious yet attainable goals to increase annual operating funds.
  • Develop and direct a comprehensive development program that encompasses major gifts, planned giving, foundation relations, annual giving, and gift processing and acknowledgment. This includes translating fundraising efforts into tangible achievements that resonate with and make our supporters proud.
  • Oversee the Grants Manager and the development team to ensure they meet or exceed revenue targets. This involves managing the development of grant proposals, monitoring grant progress, and reviewing grant reports. Additionally, lead on prospecting foundation and other institutional grants and contracts from local, state, and nationally-based funders.
  • Develop and implement innovative donor event programs both regionally and nationally, including expanding online opportunities to enhance support.
  • Implement and maintain a data-driven, relationship-centered development approach. This includes managing key relationships with foundation, government, and other institutional supporters, and identifying new opportunities and prospects.
  • Enhance donor management by overseeing the growth and maintenance of the organization’s development database. Manage internal fundraising, donor database, and direct mail systems. Foster innovation through internet and social networking tools to optimize technology use in securing contributed revenue.
  • Ensure meticulous management of departmental contracts and grant budgets, assisting in the preparation of reports and budgets for grant applications.
  • Ensure compliance with local, state, and federal government reporting requirements, maintaining the highest standards of accountability and transparency in all development activities.

Organizational Support & Department Leadership (20%)

  • Serve as a collaborative member of Imagine Black’s Senior Leadership Team.
  • Lead and nurture a robust team of finance, operations and development professionals. Oversee management, development, and retention of both professional and support staff within the development division.
  • Conduct staff evaluations, cultivate a strong sense of teamwork, and create an environment of mentoring and support.
  • Coach the team to bring strategic focus to the development department and foster a work culture rooted in innovation and a commitment to excellence.
  • Manage department administration, including approving timesheets, PTO requests, expense approvals,
  • and contracts.
  • Make staffing and resource decisions to achieve department and organizational goals in partnership with the President and Executive Director.
  • Develop organizational strategic goals and plans in partnership with the Senior Leadership Team, President and Executive Director, and the Board of Directors.
  • Develop and strengthen departmental policies and processes as needed.
  • Lead internal staff and department meetings and collaborate with other staff as needed.
  • Serve as an ambassador of the organization when attending community and external events.
  • Regularly attends internal meetings as required.
  • Collaborate internally with staff using online tools and apps, such as Slack, Mighty Networks, and Asana.

Financial Monitoring and Oversight (10%)

  • Ensure compliance with federal, state, and local laws for all 501c3 and 501c4 expenditures and reporting.
  • Supervise the Finance Director in developing and implementing internal controls and financial governance, in collaboration with the President and Executive Director.
  • Oversee the Finance Director’s efforts to enhance reporting and analytics for revenue, expenses, financial statements, and metrics, in cooperation with the Administration and Resource Development team.
  • Supervise the Finance Director in the development of the annual budgeting and planning process; monitor progress and keep the senior leadership team informed of the organization’s financial status.
  • Review financial reports prepared by the Finance Director, manage organizational cash flow and forecasting, and provide strategic financial insights for decision-making.
  • Support the Finance Director in coordinating and leading the annual audit process, ensuring timely preparation and filing of reports, and managing tax preparation along with 1096/1099 processes.
  • Oversee the Finance Director’s management of accounting practices, cash flow, and efforts to minimize financial risk.
  • Analyze complex financial data provided by the Finance Director to guide the organization’s financial strategy.

Contracts and Compliance Management (10%)

  • Accomplishes reporting compliance objectives by leading compliance staff and communicating and enforcing values, policies, and procedures to direct reports, colleagues, and other stakeholders.
  • Protects assets by tracking applicable laws and regulations that affect reporting and anticipating emerging compliance trends, including cybersecurity.
  • Minimizes legal risks by understanding current and proposed legislation, enforcing regulations, recommending new procedures, and complying with legal requirements.
  • Works alongside Imagine Black’s Senior Leadership Team to develop 501c3 and 501c4 governance guidelines.

Requirements

REQUIRED QUALIFICATIONS

  • At least eight years of demonstrated experience with the majority of job responsibilities.
  • Experience cultivating good relationships with stakeholders, including individual and institutional supporters, and collaborating across multiple teams.
  • Ability to use online systems and tools to successfully function in a virtual work environment.
  • Demonstrated experience in securing major grants, gifts, or support from individual or institutional supporters. 
  • Demonstrated experience with community fundraising models. 
  • Demonstrated strong supervisory skills to supervise, support, and hold accountable team members. 
  • Organizational skills to build effective processes and organize information and timelines across multiple teams and stakeholders.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners.
  • Experience reviewing financial statements with accompanying disclosures and presenting this information to various internal and external stakeholders.
  • Passion for how self-determination and radical Black imagination can directly influence policy and advocacy.
  • Familiarity with the unique challenges facing Black Oregonians.
  • A commitment to applying a Black Queer Feminist lens to development/fundraising, operations and finance. 
  • Exemplary supervisory and people skills with an ability to establish and maintain effective working relationships with various people.
  • Creative thinker with strong analytical and problem-solving skills.
  • Excellent written and oral communication skills.
  • Ability to work independently, prioritize tasks, and manage multiple projects simultaneously.
  • Ability to occasionally work on evenings and weekends.
  • Proven skills in working and communicating with communities within the African diaspora, especially with descendants of enslaved Africans, African immigrants and refugees, and Caribbean immigrants and refugees
  • Strong work ethic and flexibility to accommodate multiple priorities in a fast-paced environment
  • Experience using Google applications and/or Microsoft Office.
  • A high bar for fiscal responsibility and controls – staying on top of trends and models best practices in financial management, risk management, and compliance.
  • Commitment to confidentiality and ability to exercise absolute discretion.

PREFERRED QUALIFICATIONS

  • Demonstrated alignment with Imagine Black/ Imagine Black Future’s mission and a strong commitment to racial and/or social justice.
  • Demonstrated success in leading or managing fundraising efforts in a nonprofit setting, with a track record of achieving annual fundraising targets exceeding $2 million.
  • Degree or certificate in accounting, finance, or another related field.
  • Experience in nonprofit fund accounting.
  • Knowledge of EveryAction or comparable unified CRM, fundraising, organizing, and donor management software.
  • Ability to manage a project from inception to completion.
  • Familiarity with Xero, Gusto, Asana, Slack, Zoom, or similar systems.
  • Lived experience with or knowledge of Black community issues, particularly in Oregon.
  • Bi- or multi-lingual (Arabic, Amharic, Swahili, and Somali-speaking applicants are encouraged to apply).
