Position Summary:
We are seeking a skilled and passionate part-time Infusion/Wellness Spa Concierge to join our team. The ideal candidate will play a crucial role in overseeing the day-to-day operations of the Wellness spa facility, ensuring smooth functioning, exceptional customer service, and adherence to all relevant regulations and standards. They will assist with coordinating staff, maintaining inventory, coordinating/scheduling services, and cultivating a positive, welcoming environment for clients.
Essential Duties and Responsibilities (include, but not limited to the following):
Operational Coordination:
- Assist with all aspects of daily operations, including scheduling, staffing, and facility maintenance
- Monitor adherence to regulatory guidelines and franchise/company protocols to ensure efficient workflow and compliance
- Assist with management of inventory and supplies, ensuring adequate stock levels and cost-effectiveness
- Oversee billing and financial transactions, including reconciliations and reporting
- Provide support to franchisees/owners/management on operational matters, including sales, marketing, staffing, inventory management, and customer service standards
Staff Coordination:
- Foster a positive work environment and encourage teamwork and professional development
- Assist with handling staffing issues, such as scheduling conflicts, as needed
- Ensure staff is following process and procedure, including quality control, documentation and client education
Customer Service:
- Educate guests on the benefits of IV hydration and wellness therapies
- Offer wellness plans and membership options to all new guests
- Ensure a high standard of customer service by addressing client inquiries, concerns, and feedback promptly and professionally
- Monitor client satisfaction and implement strategies to enhance the customer experience and foster loyalty
- Handle escalated client issues or complaints with empathy and diplomacy, seeking resolutions to maintain client satisfaction
Marketing and Sales:
- Assist with creation of content for social media, which includes taking in-spa photos and videos
- Monitor sales performance and implement sales initiatives to meet revenue targets and business objectives
Regulatory Compliance:
- Ensure compliance with all relevant regulations, including health, safety, and sanitation standards
- Stay abreast of industry trends, best practices, and regulatory changes, and update policies and procedures accordingly
- Maintain accurate records and documentation related to licensing, certifications, and inspections
- Monitor and ensure patient record confidentiality
Requirements
Minimum Qualifications (Knowledge, Skills, and Abilities):
- Bachelor's degree in business administration, hospitality management, or related field preferred
- Previous experience as spa concierge or a similar role, preferably in a medical spa setting
- Strong leadership and interpersonal skills, with the ability to motivate and inspire a multi-disciplinary team
- Excellent organizational and time management abilities, with attention to detail
- Familiarity with healthcare regulatory requirements (HIPAA confidentiality) and standards for spa operations
- Experience or familiarity with franchise operations, particularly in the spa or wellness industry preferred
- Interest and knowledge of wellness therapies, spa services, products, and industry trends
- Exceptional communication skills, both verbal and written
- Attention to detail, the ability to organize and prioritize, and a commitment to maintaining high-quality standards
- Competence to thrive in a high-end, fast-paced, spa service environment and adapt to needs of the workplace
- Ability to express compassion and understanding towards clients, creating a comfortable and positive experience
- High comfort level with relationship building/sales
- Proficiency in computer applications, including scheduling software and Microsoft Office Suite and Google (docs, etc.)

The noise level in the work environment is moderate. The employee may be exposed to hazards such as radiation, bodily fluids that may contain disease, and fumes from laboratory chemicals.
Benefits
Hourly pay: $22-$35/hr, based on experience, plus Performance Incentive Plan.
