As the Front Office Manager at GXA, you will be responsible for overseeing the day-to-day operations of our office and ensuring a smooth and efficient workflow. You will serve as the first point of contact for guests and visitors, providing exceptional customer service and creating a welcoming environment. Responsibilities
- Manage the reception area, including greeting guests, answering phones, and handling inquiries
- Manage building and building vendors
- Manage 1-3 building tenants
- Maintain building as if is your personal home (quarterly deep cleanings, change air filters, keep snacks refilled, ensure kitchen is organized, maintain files for different departments (online and in the office) ,keep areas clutter free, organize storage room, manage systems to ensure staff can locate items, etc.
- Maintain office cleanliness and organization, ensuring a professional and comfortable environment (including ensuring temperature in building is satisfactory)
- Coordinate meetings, appointments, and travel arrangements for staff
- Order and maintain office supplies
- Assist with HR tasks such as employee onboarding and ensuring records get the appropriate dept.
- Manage incoming and outgoing mail and packages
- Striving to provide excellent service for the internal staff
- Collaborate with other departments to ensure seamless operations
- Drama free and not attracted to office gossip or politics
- Plan team building activities, keep staff engaged through company culture
- Plan annual holiday events
- Willing to sit at reception area, as needed
- Willing to manage interns, as needed
- Adhere to office hours of Monday-Friday 8am-5pm (must be in the office daily) without personal distractions or other obligations that may interfere with focusing on role
- Available after hours and weekends, if needed to meet with vendors or to attend activities
- Close proximity to the office -30 minutes or less, drive time
- Open and close office daily
- Can be counted on professionally
Requirements
- Previous experience as a front office manager or similar role- 10+ years
- Excellent organizational and multitasking skills
- Process Driven and policy-oriented professional temperament
- Ability to physically walk the building several times per day to look for leaks, help keep things organized, tidy up spaces, etc.
- Clean and organized professional temperament
- Strong Computer Skills
- Ability to complete tasks with little supervision
- Strong Attention to details
- Strong written and verbal communication skills
- Strong Capacity to learn new things
- Advanced Skills in Microsoft Office Suite and other relevant software- PowerPoint, Excel, Word, Office 365
- Trello Board Experience- task management software
- Ability to handle multiple projects and deadlines
- Customer service oriented and professional demeanor (your customer will be the internal staff)
- Attention to detail and problem-solving abilities
- Ability to work independently and as part of a team
- Positive attitude and strong work ethic
- Flexibility to adapt to changing priorities and responsibilities
- Reliable transportation
- No visible, tattoos, body piercing, tongue rings, face piercings permitted
- Willing to adhere to business casual dress code
