As the Executive Marketing Assistant, you will play a crucial role in optimising the personal and business life of the company's owner, allowing them to focus fully on growing and expanding the business. The right person should be looking for growth opportunities and grow into more operational support role.
In this role, you will be responsible for:
📧 Email and Communication Management: Handle daily ad hoc emails, review and forward client posts, manage Svend’s inbox by prioritizing emails, responding to routine inquiries, and flagging important messages for review.
📱 Social Media and Website Management: Update LinkedIn with blogs, client announcements, and reviews for chamber events; maintain the website with LinkedIn updates, event pictures, and articles.
📅 Event and Meeting Coordination: Book and follow up with networking events, prepare MJSC agenda, manage SA businesses, follow up with event attendees, connect with prospects, conduct research, and coordinate meeting trips.
💼 Financial Management: Manage insurance renewals, confirmation statements, provide VAT reminders, prepare finance reports, monitor debtors, process payments for clients and suppliers, sort personal emails, ensure money laundering compliance, handle year-end accounts, oversee sponsorships, conduct P11D and share option processes, and review website and other costs.
📊 Client and CRM Management: Oversee client onboarding including checklists and follow-ups, manage CRM updates and follow-ups, send and follow up on fee estimates, and add to CRM.
📧 Marketing and Outreach: Conduct marketing emails, cold calls, client surveys, manage responses, and maintain/update Connected website.
📝 Administrative and Miscellaneous Tasks: Provide updates for HR, legal, and financial matters, develop streamlined processes for complex tasks, take detailed notes during discussions, transform them into actionable steps, and act as a sounding board and support system for Svend.
Working Hours ⏰: Full-time, with flexibility to work within UK/Europe/SA time zones.
Requirements
To excel in this role, you need to have:
✅ 1-2 years of experience in a similar assistant role.
✅ Proficiency in Microsoft Office and Google Suite, and also be open to new systems and platforms.
✅ Basic knowledge of marketing.
✅ Familiarity with CRM systems.
✅ Good command of English.
