Mission/Purpose
This role will work directly with Ciaran the CEO to zero email & social media inboxes, booking meetings, planning vacations logistics, research, data entry for health and finances, online ordering, Google Drive organization, outreach, and help out with personal tasks. The EA plays a vital role in streamlining the CEO’s professional and personal life.
Accountabilities:
- Email and Calendar Management: Handle incoming emails, unsubscribe from spam, respond to important messages, schedule appointments, manage calendar conflicts and off-site meeting logistics.
- Personal Tracking and Admin: Input health data into spreadsheets, research and schedule social events, book personal appointments, manage dating app messages, and assist with Instagram outreach.
- Vacations and Logistics Planning: Research and book flights and accommodations, plan trip itineraries, handle travel bookings and cancellations, maximize travel points, and assist with event planning.
- Online Ordering and Cost Analysis: Complete cost analysis for most cost effective options. Handle online orders, book cars and eBike parts, manage returns and gifts, track purchases and expenses, and manage Venmo-related financial tasks.
- Research: Conduct comprehensive research on new software, insurance, cars, products, and food to identify the most cost-effective options by evaluating reviews, prices, and service levels.
Skills to Excel:
- Time management and prioritization of tasks to get the most important and time sensitive tasks completed first.
- Strong Written & Spoken Communication Skills: Effective communication is essential for handling emails, scheduling, calling people and interacting with various parties.
- Proactive approach overcome challenges and make suggestions versus waiting for instructions.
- Detail oriented, organized and diligent - tendency to double check, do clean work, and remove errors ahead of time.
- Fast learner regarding technology and new software tools. Enjoy learning about and digging into tools to optimize and simplify workflows.

Qualifications (Must haves):
- C1 level English or better
- Experience with email & calendar management
- Experience with data entry
- Experience with research

- Experience with GMASS, Instagram Scraping Tools (confirmation, follow-ups, rescheduling)
- Experience with email marketing software Klaviyo
- Experience with outreach methods to influencers/affiliates
- Experience email lookup software like Rocket Reach
- Experience tracking and entering sales or marketing metrics
- Experience editing Shopify pages or Clickfunnels

Fully remote (Latin America based)

Most likely hours are 8:00am-12:00pm Monday-Friday
$6-$7 per hour
