About the Position:
The Payroll Specialist will join a team of finance professionals and will be responsible for managing the entire payroll process for our employees and independent contractors. This role is critical in ensuring that wages, salaries, bonuses, taxes, and deductions are calculated and processed accurately and in compliance with payroll laws. The Payroll Specialist also oversees the secure storage and updating of payroll records and ensures timely payroll tax payments and filings. This role reports to the AVP of Finance. The salary range for this position is $65,000 - $80,000.

Your Impact:
- Payroll Processing: You’ll accurately calculate and process employee wages, salaries, bonuses, and deductions in compliance with federal, state, and local payroll laws and regulations.
- Payroll Records Management: You’ll maintain, update, and securely store payroll records, including employee information, timekeeping data, and pay rate changes.
- Tax Compliance: You’ll ensure timely payment of payroll taxes and compliance with all tax regulations.
- Issue Resolution: You’ll address and resolve payroll discrepancies, employee inquiries, and complaints regarding pay and deductions.
- Benefit Deductions: You’ll audit employee benefit deductions and invoices, ensuring amounts are accurate and reconciled, and coordinate corrections as needed.
- Payroll Auditing: You’ll conduct regular audits of payroll data, ensuring accuracy and compliance with company policies and legal requirements.
- General Ledger Reconciliation: You’ll ensure all payroll transactions are accurately reflected in the general ledger and provide insights based on data analysis.
- Contractor Management & Payment Processing: You’ll oversee contractor management by ensuring appropriate data is gathered and payments are processed in a timely manner. This includes managing the 1099 process to ensure compliance with tax regulations and accuracy in reporting.
Requirements
- Advanced experience in payroll processing, including calculating wages, salaries, bonuses, taxes, and deductions
- Expert understanding of managing payroll cycles (semi-monthly, monthly, quarterly)
- Strong proficiency in federal, state, and local payroll laws, including FLSA and tax regulations
- Proficient experience maintaining and securely storing payroll records
- Advanced skills in auditing payroll records and resolving payroll discrepancies
- Superior interpersonal and communication skills to liaise effectively with employees, HR, and management
- Familiarity with handling benefit invoices and ensuring accurate reconciliation
- Advanced skills with Excel/Google Sheets for payroll analysis and reporting
- Experience with multiple HRIS and payroll software systems
- Certification such as Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred
