Full Job Description
The Executive Assistant will be responsible for a range of administrative and operational tasks, including managing communications, scheduling, and coordinating project-specific activities. This role requires someone detail-oriented, proactive, and comfortable working independently to support a fast-paced, dynamic environment.
Key Responsibilities:
- Calendar and Schedule Management: Oversee the executive’s calendar, arrange appointments, coordinate with stakeholders, and ensure commitments are met.
- Communication Management: Serve as a key contact for internal and external communications, draft and review correspondence, and manage the executive’s email inbox.
- Client and Document Coordination: Prepare and distribute internal documents, write letters to clients, and maintain organization of property-specific data and files.
- Project Support: Take photos of renovation projects, schedule and coordinate outside contractors, and liaise with real estate agents and closing attorneys.
- Marketing and Data Tracking: Log and track property statistics, prepare marketing data, and manage updates for ongoing campaigns.
- Utility and Vendor Coordination: Establish and manage utility accounts, coordinate contractor schedules, and handle special project logistics as needed.
Requirements
Requirements:
- Experience: Prior experience as an Executive Assistant or in a similar administrative role is preferred.
- Technical Skills: Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace is essential. Basic knowledge of project management tools is a plus.
- Communication: Strong written and verbal skills, with a keen eye for detail in managing correspondence and handling inquiries.
- Flexibility and Adaptability: Ability to handle multiple tasks, manage time efficiently, and shift priorities as needed.
- Mobility: Reliable vehicle and the ability to occasionally travel locally to support on-site tasks.
Preferred Qualifications:
- Real estate or project management experience is beneficial but not required.
- High school diploma required; Bachelor’s degree in Business, Communications, or a related field is a plus.
- Strong problem-solving skills and the ability to anticipate and address needs proactively.
