Full Job Description
Lithos is looking for a highly motivated and multi-faceted candidate for our Workplace & Administrative Coordinator role. The Workplace & Administrative Coordinator will collaborate with the Technology Chief of Staff to provide comprehensive support to our team, work with internal stakeholders on the Business Operations team, and manage the physical space for the Bellevue team.
We are looking for a candidate with extreme attention to detail, exceptional communication skills, and experience working at a fast-paced startup.
This Workplace & Administrative Coordinator role is a hybrid role, requiring in-person work. Employees will be expected to work from the Bellevue office a minimum of 3 days a week (Tuesday, Wednesday, and Thursday).
Responsibilities
- Administrative tasks:
- Liaise with the Technology Chief of Staff for strategic planning
- Support onboarding activities, new hire orientation, employee handbook, and event registration
- Track and manage compliance filing dates and requirements
- Ensure compliance with the corporate travel policy
- Office Management:
- Serve as the primary contact with our building management and other office vendors
- Evaluate and assess future office space needs, anticipating team growth
- Organize and execute corporate events, offsites, and team gatherings
- Oversee mail/package deliveries and manage FedEx and UPS accounts
- Manage the office budget and ensure accurate reporting
- Maintain facility contracts, service agreements, and growth planning
Requirements
- 2+ years professional experience
- Experience managing physical spaces
- Highly organized, detail-oriented, and proactive
- Strong communication and interpersonal skills
- Ability to thrive in a fast-paced, rapidly-changing startup environment
- Ability to work comfortably with MacOS, Google Drive, Google Sheets, Google Docs, Gmail, and Slack.
- Proven track record of working cross functionally across different teams and diverse stakeholders
- Experience working in Human Resources is a plus
