SUMMARY: The Hospitality Coordinator is a pivotal role in maintaining smooth operations and ensuring exceptional guest experiences within the establishment. Responsible for inventory management, retail support, administrative tasks, and ongoing daily operations, this position requires attention to detail, strong communication skills, and a proactive approach to problem-solving. From assisting with orders and reservations to maintaining the retail space and providing support to Wine Educators (WEs), the Hospitality Coordinator plays a vital role in enhancing the overall guest experience. The Hospitality Coordinator works closely with the Hospitality Liaison and supports and fills in for that role when necessary.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Inventory:
- Conduct scheduled wine inventory counts.
- Explain any discrepancies to Inventory Control Manager.
- Facilitate, Monitor, and/or assist in putting together wine orders to ensure no inventory errors.
Retail:
- Assist WEs with opening side work and table setup.
- Pull wine for orders and ensure packing standards are met.
- Assist with Employee Wine Program Orders.
- Maintain stock and tidiness of non-wine items and packing materials.
- Assist with picnic reservations and wine selection.
- Aid WEs with Commerce7 orders and troubleshooting.
- Handle shipping adjustments and refund tasting fees.
- Fulfill, refund, and process club orders during designated times.
- Assist walk-in guests with purchases and packing.
- Keep Guest Center organized and functional.
- Occasionally count drawer at end of day.
- Assist WEs with closing side work.
Administrative:
- Train new hires in Commerce7 and retail procedures.
- Organize rung-out WRFs and deliver to CS office.
Ongoing Daily Tasks:
- Maintain tidiness and stock of retail space including merchandise.
- Ensure all guest common areas are spotless, ie. glass entry doors remain free of fingerprints, outdoor furniture in common areas is clean and free of debris.
- Assist with check-in processes and ensure adequate stock levels of wine, glassware, etc.
- Be readily available to support WEs throughout their shifts in a variety of tasks.
Requirements
QUALIFICATIONS & EXPERIENCE
- Excellent organizational and multitasking skills.
- Strong attention to detail and ability to follow procedures.
- Proficiency in Tock and Commerce 7 preferred
- Exceptional customer service and communication skills.
- Ability to work effectively in a dynamic team environment.
- Computer proficiency, ability to learn POS and reservation systems.
- Friendly, positive and professional disposition when dealing with guests, vendors and co-workers.
- Strong attention to detail, excellent communication, organization, and interpersonal skills.
- Be able to identify an issue, come up with solutions while staying calm.
- Professional appearance and demeanor – warm, gracious, and poised.
- Ability to work non-traditional business hours including evenings & weekends.
- Ability to coordinate multiple tasks simultaneously while still delivering exceptional customer service and meeting team deadlines.
- Commitment to excellence and high standards – strong attention to detail and service focus.
- Restaurant, hotel, or winery experience a plus.
LANGUAGE SKILLS
Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public. Ability to write reports, business correspondence and procedure manuals. Bilingual proficiency is preferred.
REASONING ABILITY
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to solve practical problems associated with customer service.
PHYSICAL DEMANDS
Must be able to lift at least 37 pounds, sit and stand for prolonged periods of time, work on a computer for prolong periods of time.
WORK ENVIRONMENT
Work is mainly done in an office environment, with occasional warehouse and outside work. Noise levels are low to moderate. Pay Range: $22- $26 per hour +10% Discretionary bonus
