Full Job Description
CeLeen, an operating firm of Command Holdings, is seeking an Administrative and Operations Specialist to support our USAID client. In this key role, you will manage a variety of administrative, facility, and operational tasks to ensure our office operates smoothly and efficiently. You will be the face of our organization, responsible for welcoming guests, managing office operations, coordinating events, and supporting the overall function of our team. Incumbents should excel in multitasking, have strong organizational skills, and enjoy fostering a welcoming environment.
Responsibilities may include, but are not limited to:
Facility Management and Reception:
- Serve as the main point of contact for visitors, providing an exceptional customer experience.
- Manage access to the suite via badge/pin readers and handle inquiries professionally.
- Coordinate mail and deliveries, place IT and maintenance work orders as needed.
- Support event execution, including setup, A/V support, and cleanup.
- Manage conference room scheduling, optimize space usage, and send reminders.
Office Management:
- Oversee daily office operations, including space utilization, inventory, asset management, and vendor interactions.
- Maintain a consistent presence during office hours to provide continuous support.
- Obtain vendor quotes, coordinate purchases, ensure timely deliveries, and process invoices.
- Keep a cost-effective inventory and conduct market research for strategic procurement.
- Foster a culture of continuous improvement by seeking staff input and streamlining operations.
Operations Support:
- Provide staff support, troubleshoot issues, and ensure smooth operations.
- Conduct pre-event walk-throughs to guarantee all logistical elements are planned and executed.
- Support meeting production, including A/V setup, managing virtual/physical breakout rooms, and note-taking.
- Implement emergency response protocols to ensure visitor safety.
Task Order Support:
- Collaborate with the Task Order Program Manager and Deputy to meet contract obligations, including updating the contract organizational chart, monitoring budgets, and tracking assets and other requirements.
- Facilitate seamless onboarding and offboarding for staff, including support with badging, training, and logistics.
- Maintain tracking documents related to office management and procurement.
Additional Duties:
- Assist with special projects, large-scale events, and morale activities.
- Coordinate travel logistics, including flights, hotel reservations, and conference registrations.
- Provide surge support to other office areas as needed.
Expected salary range: $62,000 - $72,000
Work Environment:
- Moderate noise (i.e. business office with computers, phone and printers) and /or occasional Loud noise (airfield, large equipment).
- Ability to sit at a computer terminal for an extended period of time.
- Ability to work in confined areas.
Physical Demands:
- While performing the responsibilities of the job, the employee is required to sit, stand, talk, and hear.
- Employee is often required to sit and use their hands and fingers to operate a computer.
Travel:
- 0-10% / Minimal travel.

Requirements
Basic Qualifications
- Bachelor’s degree.
- Must have the ability to obtain and maintain a Secret Clearance. (Eligible to pass Federal security clearance process. Please visit the link for FAQs: https://www.dcsa.mil/mc/pv/mbi/gicp/).
- 2+ years of experience in office management, administrative assistant, project associate, research assistant or a similar role.
- Strong organizational and multitasking skills.
- Ability to work independently and as part of a team.
- Demonstrated proficiency in Google Suite applications.
- Outstanding communication skills, influencing abilities, and client focus.
- Professional proficiency in English is required.

Preferred Qualifications
- Current, active Secret security clearance.
- Master's degree.
- Previous USAID experience.
