Full Job Description
The Town of Snow Hill is seeking a highly organized and detail-oriented Administrative Coordinator to provide support to our town's administration. As the Administrative Coordinator, you will play a crucial role in performing a variety of administrative tasks, ensuring the smooth operation of our town government. This individual reports directly to the Mayor and Town Manager and serves as the key administrator for the daily activities associated with Town Hall.

Responsibilities:
- Provides direct support of the Mayor and Town Manager.
- Coordinates meetings, correspondence, schedules, appointments, and internal communication; travel arrangements and itineraries for Town Hall departments and Mayor and Council.
- HR: Provides all Human Resources for the Town, including confidential matters, commendation, disciplinary action, hiring and documentation, creating job descriptions, and posting job openings, coordinating interviews, employee handbook/ benefits, all Employee Onboarding.
- ALL TOWN MEETINGS: attendance at all staff and Council meetings, providing setup, AV, packet compilation, meeting breakdown, public notices, minutes transcription and file maintenance.
- ELECTIONS: Manages and oversees Town elections, in conjunction with the Board of Elections Supervisors. advertising, process candidate applications, send out, receive, safeguard mail-in ballots, set up Polling Station, providing all necessary documents
- Provides support to Finance Dept. in preparing the annual budget and in monitoring expenditures under the current budget.
- Composes and processes resolutions and ordinances related to policy matters under consideration by the Mayor and Council not provided by the Town Attorney.
- Recommends, reviews and conducts research and report preparation for the Town Manager, Mayor and Council.
- Creates meeting agendas and packets.
- Attends staff and Mayor & Council meetings and conferences to provide support and assistance to the Town Manager and Mayor and Council. Provides accurate and timely minutes.
- Processes and administers contracts and agreements for departments, and maintains thorough, organized accessible records.
- Prepares and distributes correspondence, memos, and reports.
- Handles confidential and sensitive information with discretion.
- Coordinates Safety Training and inspections with insurance carriers and Town Departments.
- Retrieves, sorts and distributes daily mail.
- Orders office supplies for Town Hall and other departments.
- Performs other related duties as assigned by the Mayor or Town Manager.
Requirements
- Bachelor’s Degree (preferred) or Associate’s Degree in Business Administration, HR, Public Administration or other related field.
- 3-5 years experience as an executive administrative assistant or municipal government or similar role.
- Understanding of the procedures of the Mayor and Council.
- Exceptional organizational and time management skills.
- Skilled in organization and interpretation of statistical, financial and factual data to the Town Manager, Mayor and Council.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite and other relevant software.
- Ability to handle multiple tasks and prioritize effectively.
- Excellent problem-solving and decision-making abilities.
- Ability to interact with Department Heads, Mayor and Council and general public.
- Discretion and confidentiality.
- Understanding of local government structure, local codes and Town policies.
- Understanding of local government organization and administrative practices.

- Health benefits eligibility date is the first day of the month.
- In the first year of employment, you are also eligible to accrue 3.33 hours per month of vacation leave. Personal leave is accrued annually at a rate of 12 hours per quarter. Sick leave is accrued at 8 hours per month.
- You are eligible for 15 paid holidays per year. This is subject to the Town’s regular full-time benefits accrual procedures.
