Full Job Description
Founded in 1984, Firetrol is the national leader in fire protection & life safety services. We are currently seeking an experienced Construction Admin to join our team of over 1,000 of the best fire protection professionals in the industry.
Under the direction of the Contracts Administrator, works as a member of the Operations team, performing administrative functions in accordance with established procedures.
· Develop proficiency in functional areas within Document Control including printing/plotting, scanning and processing documentation into given Document Management Systems.
· Process and distribute all documentation, both internally & externally, including Job-sites, Clients, Vendors or other parties.
· Generate and check the accuracy of transmittals as required.
· Access external sites to download/upload various types of documentation from Vendors, Suppliers, and Client.
· Respond to internal and external documentation requests.
· File electronic and hard copies of all documentation into appropriate locations.
· Permitting & Managing AP account with the City.
· Process certified payroll
· Process closeout documents to include Warranty Letters and O&M Manuals.
· Scheduling after-hours inspections.
· Order and maintain supplies and arrange for equipment maintenance.
· Manage all quality systems documentation by maintaining integrity and consistency of document and data control.
· Manage document control internal projects/assignments that support continuous improvement efforts and department/company goals.
· Organize and keep all work areas clean.
· Perform other duties as assigned.
Requirements
· High school diploma or GED required.
· Construction industry experience preferred.
· Minimum of 3 years’ experience in document control or other similar experience requiring high attention to detail.
· Excellent organizational skills.
· Good computer skills and working knowledge of MS Office Suite.
· Able to work as a team member with excellent interpersonal skills.
· Ability to manage time and resources to ensure work is completed efficiently and within established timeframes.
· Strong verbal and written communication skills
· Must be detail oriented. Strong grammar, spelling, composition, and proofreading abilities are required
· Must have the ability to multi-task and work in a deadline-driven environment.
· Valid Texas Driver’s License
