GLLS is a leader in flexible linear pixel lighting applications, offering innovative lighting solutions for signage, architecture, and custom projects. As we continue to grow, we are seeking a dynamic and organized Virtual Receptionist with a strong understanding of Dynamics 365 Business Central to provide essential support across various departments, particularly in handling Accounts Payable (AP) and Accounts Receivable (AR).
Position Summary:
The Virtual Receptionist will be the first point of contact for callers, provide administrative support, and handle complex AP/AR processes using Dynamics 365 Business Central.
Key Responsibilities:
Administrative Duties:
- Answer, screen, and route phone calls to relevant team members, providing general information as appropriate.
- Manage general email inquiries, forwarding them to the correct departments or responding to basic queries.
- Coordinate and schedule virtual meetings and appointments.
- Organize virtual records and assist with office supply orders as needed.
Lead Management and Qualification:
- Receive, qualify, and document all lead calls.
- Ask key questions to gather initial customer information.
- Enter leads into the CRM system and distribute to appropriate sales representatives.
- Provide basic product information to potential customers.
Accounts Payable (AP) and Accounts Receivable (AR) Support:
- Enter and file vendor invoices in Dynamics 365 Business Central.
- Verify invoice accuracy and forward for approval.
- Assist with preparing online payments and responding to supplier inquiries.
- Generate customer invoices and record payments.
- Reconcile accounts and follow up on overdue payments.
Requirements
- Must have experience with Dynamics 365 Business Central; experience with traditional bookkeeping systems like QuickBooks or Sage is not sufficient for this role.
- Previous experience in reception, administrative support, or AP/AR management is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM systems.
- Strong organizational and communication skills.
- Ability to work independently in a virtual environment.
